Documents from Confluence and your intranet wiki ask about your work instructions instead of clicking through spaces.
Work instructions, process descriptions, minutes and onboarding pages from Confluence or the SharePoint wiki come across along with the files attached to them, so every answer can name its source. Access is read-only; nothing is changed in the wiki.

“Which work instruction applies to approving invoices over €5,000?”

How the connection works
Confluence in the cloud connects in one click via your Atlassian account and is included in the set-up, subject to admin consent in your account – details are on the Confluence page. A SharePoint wiki comes across through the Microsoft 365 connection, also in one click and included in the set-up. A self-hosted intranet wiki, including Confluence on your own server, is subject to a feasibility check: the content sits in a database, not in folders, so the route is an agreed, scheduled export of the chosen areas including attachments, sent encrypted and over outbound connections only to your instance. The page tree comes along so that each page’s origin is recorded, and a person confirms the suggested document type. We check before we start whether and how such a wiki can be connected – whether an interface exists, is enabled and reachable, and whether the account used is allowed to export spaces, depending on version, licence and hosting model. Until then you can upload exports by hand, as files or whole folders.
Once set up, synchronisation runs automatically: new and changed documents from Wiki and intranet are added without anyone having to upload anything.
Set-upConfluence in the cloud and a SharePoint wiki: one click, included in the set-up, subject to admin consent in your account. For a self-hosted wiki, we estimate the work involved once it is clear which areas should come across and which export route is available, and discuss it with you before anything is set up – ideally together with your wiki administrator. That set-up is charged on a time-and-materials basis, agreed in advance.
Documents
Typical content: Wiki and intranet
- Work and procedural instructions, usually with an approval note and validity date in the page header.
- Checklists for recurring processes: opening a file, taking over a property, month-end closing, holiday cover.
- Minutes from regular meetings and team meetings, one page in the tree per meeting.
- Onboarding pages for new employees, including an overview of who gets which access.
- Decision pages with reasoning: why a process was set up the way it was in 2021.
- The attachments to the pages – forms, templates, short guides as PDF, screenshots.

Start
Before a connection is set up
This connection is set up for you rather than switched on in one click. Every source has its own logins, permissions and folder structure – so before we start, we check with you whether and how it can be connected at your company. Set-up and maintenance are charged on a time-and-materials basis, agreed in advance; the amount depends on the source.
You can also upload files, whole folders, emails, photos and voice notes at any time. In the demo you see the answers using sample documents from your industry; you check them against your own documents in the first weeks after go-live.
Preliminary check
What we check in advance
Before we start, we look at which pages are out of date: many wikis keep older versions alongside the current ones, and the 2019 instruction often looks just as valid as today’s. You decide which version applies – outdated content can be left out or flagged; nothing in the wiki itself is touched. We also check how dynamically assembled content – embedded lists, status overviews, diagrams from add-ons, links into other tools – comes across; depending on the add-on, it may arrive as just an image or a blank space. Whether page comments, older versions and unpublished drafts are included depends on the route; since the real decision is sometimes buried in the comments, we agree this with you beforehand.
FAQ
Frequently asked questions about this connection
We have areas nobody has touched in three years. Do they have to come across?
We decide that area by area, and either choice can make sense: a dormant area can stay out because it holds outdated content – or come across precisely because it holds knowledge about completed projects that nobody else remembers. In the initial meeting we go through the list of areas together and mark what should come across. An area can be added later or taken out again without affecting the rest of the collection.
Our page tree has grown over the years, and some pages sit in several places.
Nothing in the wiki needs to be moved around. A page linked from several places comes across once – a link is not a copy. Uninformative titles such as “Miscellaneous” or “Notes 2” usually matter less than you might expect, because the answer relies on the content of the page. The attachments are often what counts: the PDF form on an otherwise sparse page is often exactly what people are looking for. In the demo you see this with sample pages; you check it with your own page tree in the first weeks after go-live.
We are moving to a new wiki version or hosting model. Will the export stop working?
Anything already brought in sits in your instance, not in the wiki, so a version change does not affect it. The open question is whether the usual route is still available afterwards – that depends on version, licence and hosting model, and we check it again after the change. Let us know in advance; we can then pull the content from the current version and prepare the new route, so that there is as little gap as possible.
Each of our areas has its own permissions. Are they carried over?
Not one to one, and that is deliberate: in your instance, rights depend on document types and roles, not on the area. The boundaries of a restricted area are respected – what only management sees today stays that way. A cut-off date is also possible, for instance for meeting minutes before a certain date. The difference: in the wiki, where a page sits decides who sees it; here, what the page is about decides. If the permission is missing, the system says so instead of handing out half an instruction; we agree with you beforehand which roles are needed.
