Knowledge base for insurance brokers when a coverage question has to be answered from the policy and the policy wording.
Policies, policy wordings, claims files and correspondence in one place, every answer with the source it comes from. The demo uses sample policies; in the first weeks after go-live you test it against your own policies and endorsements, using cases where you know the cover.
Everyday question
“Is customer X covered for natural hazards, and with what excess?”
The answer is in
Policy · Policy wording

Sound familiar?
Is this customer covered for natural hazards, and what’s the excess?
The policy wording runs to eighty pages, and the answer’s on one of them.
Every claim, it’s the same hunt through the policy, the endorsements and the correspondence.
Tuesday, after the weekend’s storm. A commercial customer reports water in the warehouse; the managing director is on the phone and wants to know right away whether natural hazards are covered and whether business interruption is included. The policy dates from 2018; the endorsement after the hall extension in 2022 was emailed to a colleague at the time, and whether the insurer confirmed the higher sum insured or merely indicated it is somewhere in that thread. The policy wording runs to eighty pages; the excess for flooding is on one of them. The claim has to be reported without delay, and the account handler has four other customers hit by the same storm today. In the afternoon the managing director rings again and asks why it’s taking so long.

Basic package
Set-up fee €2,900 · excl. VAT
A flat fee per company. Everyone in your firm can use it – from reception to the partners – with no per-user licence. One-click connections are included in the set-up. Before we start, we check whether your industry-specific software can be connected; that connection is charged on a time-and-materials basis, agreed in advance.
Drafts as Word, PDF or email are included in the Premium package.
At the kick-off we agree on twenty questions together – along with the documents each answer should come from. At sign-off we go through them together and look at what the system does with them. What follows from that is set out in the quotation.
Getting started
Where to start
Start with your commercial customers: first the policies with all their endorsements, then the policy wordings that actually appear in your portfolio – not an insurer’s entire library. A coverage question is rarely answered from a single document; it takes the policy, endorsement and policy wording together, and if one of them is missing, the answer is incomplete. In the first weeks after go-live, use cases where you know the cover to check whether all three sources come up. After that, add the advice records, because you’ll need them when a customer comes back with an insurer’s rejection and asks why they weren’t insured differently. Before we start, we check whether your mailbox can be connected; setting it up is charged on a time-and-materials basis, agreed in advance.
FAQ
Frequently asked questions
Can we ask questions across the whole portfolio, not just about one customer?
Yes, provided the documents are in it – one of the things worth checking in the first weeks after go-live. For a question like “Which commercial customers have natural hazards cover with no excess?”, the answer lists the contracts, each with the source in the policy or endorsement. After a storm, the first useful question is often not whether this one customer is covered, but which of your customers in the affected area have natural hazards cover at all, and whom you should ring before they ring you. How complete the list is depends on whether all policies and endorsements are in the knowledge base; if the system finds nothing on a point, it tells you so.
Which version of a policy wording applies to a particular contract?
The policy specifies the applicable version. If the knowledge base holds several versions from the same insurer, that detail belongs in the answer – and whether it appears with your documents is a good thing to check in the first weeks after go-live. The answer to a coverage question gives the passage it comes from, with section and page, so you can check it instead of skimming eighty pages again. Nothing is interpreted. If two versions differ, the answer shows both, and which belongs to which contract. The assessment remains yours.
What about what we recorded at the advice meeting?
Advice records, the demands-and-needs test, the insurance product information document, the risk analysis and cover proposal under § 28 of the Austrian Insurance Brokers Act (MaklerG) and the related correspondence can all go into the knowledge base and be searched in your own words – for example, what this customer was told about underinsurance before the extension was built. The answer gives the passage in the record and the date; if the system finds nothing, it tells you so. Whether the documentation is adequate in a given case is still for a person to judge; but this way it can be found even when the colleague who gave the advice left long ago.
A claim has come in. What does the system produce?
A draft, nothing more: the claim notification to the insurer as an email draft, with policy number, sum insured and excess taken from the policy and endorsement, and the source for each. You read it, edit it and send it – nothing goes out on its own, not even to the insurer. Reporting the claim remains your responsibility: § 33 of the Austrian Insurance Contract Act (VersVG) requires notification without delay, and what that means in a given case depends on the contract, not on the software. Try it in the first weeks after go-live with a claim from last year to see whether the draft saves you the legwork.
