Schweighofer Manager software receipts, reports and correspondence in the knowledge base.
Whatever the programs output and save goes into the knowledge base: receipts, reports, payroll documents, and correspondence on properties and clients. Access is read-only; nothing in the programs themselves is changed.

“How was the receipt for invoice 2025-0488 allocated and posted?”

How the connection works
The Schweighofer Manager software is a family of Austrian business programs – from _Win_1A-FIBU and _Win_1A-LOHN to UNTERNEHMER and HAUS-MANAGER – and each program keeps its data in its own store; receipts, reports and letters that have been output are often saved as files on your server as well. Before we start, we check whether and how your Schweighofer programs can be connected – that depends on the program, version, licence and the vendor’s approvals. The route is either a scheduled export of documents and master data, or a sync that mirrors the output directory to your own instance, encrypted, read-only and outbound only. If you use SCHWEIGHOFER CLOUD, we clarify whether and how the provider grants read access.
Once set up, synchronisation runs automatically: new and changed documents from Schweighofer Manager are added without anyone having to upload anything.
Set-upEach program in the family has its own output route, so the effort depends on which one you start with and whether files exist or an export is needed as well. Once the feasibility check is done, we estimate it and agree it with you before anything is set up. It is charged on a time-and-materials basis, agreed in advance.
Documents
Typical content: Schweighofer Manager
- Bookkeeping reports that are usually output: trial balances, account statements, journals and the documents for the VAT return.
- Payroll documents: monthly payslips, annual pay slips (Lohnzettel) and notifications to the ÖGK (Austrian Health Insurance Fund), plus statements of employment terms, collective agreement gradings, and allowance and all-in agreements.
- From invoicing and inventory management: quotes, delivery notes, outgoing invoices and reminders – together with the item and price data that applied at the time.
- From property management: service charge demands, operating cost and owner statements, reserve fund statements, resolutions of owners’ meetings and correspondence about the property.
- Scanned receipts for the bookkeeping: incoming invoices, cash receipts and bank statements, usually in the output or receipt directory alongside the reports.
- The document packs sent out with the annual financial statements – to the client, the bank or the owners’ association.

Start
Before a connection is set up
This connection is set up for you rather than switched on in one click. Every source has its own logins, permissions and folder structure – so before we start, we check with you whether and how it can be connected at your company. Set-up and maintenance are charged on a time-and-materials basis, agreed in advance; the amount depends on the source.
You can also upload files, whole folders, emails, photos and voice notes at any time. In the demo you see the answers using sample documents from your industry; you check them against your own documents in the first weeks after go-live.
Preliminary check
What we check in advance
Before we start, we check which reports are saved as files on your side – anything that is only viewed on screen and never output doesn’t exist anywhere as a document. A trial balance that has been output reflects the figures on the day it was produced; if entries are rebooked afterwards, the file is out of date, which is why the answer also gives the output date. Bookkeeping, payroll, invoicing and property management each have their own output route, which we check and set up individually, even though they all come from the same vendor. You decide where to start; they don’t all have to be done at once.
FAQ
Frequently asked questions about this connection
Our reports from previous years exist only in the program. Will they be included too?
Anything saved as a file in the output directory is included – older years too. For periods that were never output, a one-off output run would be needed; we decide with you which reports it should cover. A report generated today carries today’s date and shows what the program holds for that period today – which is not necessarily the same as the printout from back then. After that, only newly output or saved documents are added.
All our output goes into the same directory and is named by receipt number. Is that enough?
Generally, that’s a workable basis. The file name and path are read as part of the structure, and the system also reads client, property, period and receipt number from the document – an operating cost statement names its property in the header, after all. The master data from the export shows where each item belongs; if there are two versions of the same statement, both are named with their dates. Someone at your company confirms each file’s document type on the first run. In the first weeks after go-live, we go through the answers with you using real questions and your own file names.
Program updates sometimes change output templates and directories.
The connection doesn’t change anything in the program itself. If an update moves the directory or changes file names, no new files are added until the set-up has been updated; the existing content stays in place. Because several programs run side by side, an upgrade often affects only one of them – we check the route your daily files come through first. The update is coordinated and charged on a time-and-materials basis, agreed in advance; let us know before the version upgrade and we’ll check the output route at the same time.
Our colleague in property management mustn’t see any payroll documents.
That’s exactly what visibility by document type and role is for. Payroll documents can form a separate document type shared only with payroll, while service charge demands and property statements are open to the management team – without anyone having to adjust file permissions. Permissions can be given a cut-off date, for example if someone has only been looking after a property since this year. If someone lacks permission, the system tells them so rather than showing the content.
