Documents from BMD ask questions of your client files and accounting documents, with the source.
Documents and master data from BMD go into the knowledge base through an agreed export recipe. Access is read-only: nothing in BMD itself is changed, and client data stays in your own instance.
BMD
subject to a feasibility check · database exportExample question
“Which collective agreement applies to this client?”
1 Answer with sourceConnection
How the connection works
BMD keeps much of its content in its database rather than in folders. So the route is an agreed export recipe: a scheduled export of documents and master data, transferred encrypted to your own instance. Before we start, we check with you and your BMD support partner whether and how BMD can be connected – that depends on the version, your modules and the vendor’s approvals.
Once set up, synchronisation runs automatically: new and changed documents from BMD are added without anyone having to upload anything.
Set-upOnce the feasibility check is done, we estimate the effort and agree it with you before anything is set up – with your BMD support partner, if you like. The set-up is charged on a time-and-materials basis, agreed in advance: as a guide, from around €2,000 one-off and from around €100 per month; the exact amount is set case by case after the check, before the set-up.
Documents
Typical content: BMD
- Annual financial statements with notes, the papers for the year-end meeting and the version filed with the company register – stored in the client file by financial year
- Tax assessments and correspondence with the tax office, transferred to the client file from the Databox in FinanzOnline (the Austrian tax authority’s online portal)
- Document images attached to the booking line in accounting – incoming and outgoing invoices, bank and cash documents
- Payroll documents: payroll accounts, employment contracts, collective agreement grading and the annual payslips for the tax office
- File notes, meeting notes and deadlines from practice management – including what was noted down after a call with the client
- The firm’s own invoices from time recording, with the service period, the client and a note of what was billed

Start
Before a connection is set up
This connection is set up for you rather than switched on in one click. Every source has its own logins, permissions and folder structure – so before we start, we check with you whether and how it can be connected at your company. Set-up and maintenance are charged on a time-and-materials basis, agreed in advance; the amount depends on the source.
You can also upload files, whole folders, emails, photos and voice notes at any time. In the demo you see the answers using sample documents from your industry; you check them against your own documents in the first weeks after go-live.
Preliminary check
What we check in advance
Before we start, we decide with you what the export recipe should cover: which financial years, which clients and whether documents exchanged through the BMD Com client portal are included. Anything left out of the recipe at first can be added later. Whether your installation allows read access beyond the scheduled export depends on the version, your modules and what your support partner enables; we clarify that with them before any effort is incurred. Nothing is written back – no bookings, no filing to the client file, no deadlines in practice management. And an evaluation that BMD only calculates on request, such as a trial balance, is not a document: only what is stored as a document or report goes into the knowledge base. We go through with you which reports you store in this way.
FAQ
Frequently asked questions about this connection
Are earlier years included, or only the current financial year?
That depends on the export recipe. Typically, the initial run covers the financial years you actually need: usually the financial statements of the last few years with their document images, less often everything back to the founding of the firm. After that, each scheduled run adds only what is new or has changed. You decide how far back the initial run goes; we discuss beforehand what that means for the effort. If a tax audit is coming up, the audit period is often a sensible scope.
In BMD, everything is tied to the client and the financial year – is that kept?
Yes, as long as the classification keys are exported too: client number, financial year and document type. The client and file master data come across for this purpose. Each answer is then matched to the client and year, and the source names the document so you can check it – with two companies from the same family, that is the difference between useful and risky. Whether a document counts as a payroll account or correspondence is confirmed by someone during the first run, because it decides who can see it. We check beforehand which classification keys your BMD provides.
We are bound by professional confidentiality. Who sees the client data?
Within the firm, the people you give access to: permissions are tied to document types and roles, not to individual files and not to your BMD users. Before the initial run, you decide which role sees which document type – payroll usually more restricted than correspondence; for a trainee tax adviser who only started this year, a cut-off date can be set. Outside the firm: you work in your own instance on servers in Germany, the language model runs in an EU data centre, and no model is trained on your client data. Nothing changes in the permissions within BMD itself.
What happens at the next BMD update?
The export writes agreed data to a directory and does not depend on the user interface, which changes from version to version. If a new version adds fields or shifts columns, the mapping may stop working on the next run – and the recipe is then adjusted. So let us know before a major update, and we’ll check the first run afterwards together.
