RZL client files ask questions of your documents, with sources.

Everything in the client file becomes searchable in the knowledge base: annual financial statements, receipts, file notes, correspondence with authorities and clients. Who sees what depends on document type and role; access is read-only, and nothing in RZL itself is changed.

Connection

How the connection works

We check before we start whether and how RZL can be connected – that depends on the version, your licence and where documents are stored. By default, RZL (Austrian accounting and tax practice software) stores client file documents as files; with the add-on module “RZL Dokumentenverwaltung-/Belegverwaltung plus” (document and receipt management), they are stored in the RZL database. If they are files, junova mirrors the directory to your own instance, encrypted; if they are in the database, an agreed, scheduled export is used. Either way, the client and file master data come across through an export, so that answers are matched to the right client. The connection is outbound only.

Once set up, synchronisation runs automatically: new and changed documents from RZL Software are added without anyone having to upload anything.

Set-upHow much set-up is needed depends mainly on whether the documents exist as files or an export is needed as well. Once the feasibility check is done, we estimate the effort and agree it with you before anything is set up – ideally with your RZL support partner. Set-up and maintenance are charged on a time-and-materials basis, agreed in advance.

Documents

Typical content: RZL Software

  • The digital personnel file from payroll: employment contracts and statements of employment terms, the collective agreement grading, monthly payslips, annual pay slips (Lohnzettel) and notifications to the ÖGK (Austrian Health Insurance Fund).
  • The client’s bookkeeping records: account statements, trial balances, journals and cash books for the financial year, plus the receipts linked to each booking.
  • Annual financial statements with notes, the fixed asset register and the prior-year figures discussed at the year-end meeting.
  • Tax returns and the resulting assessments – together with requests for further information, responses and the rest of the correspondence with the tax office.
  • The firm’s own records on the client: powers of attorney, fee notes and the time records behind them, plus anything exchanged through the client portal and added to the file.
  • File notes recording why a matter was assessed one way and not another – and what information that was based on.

Start

Before a connection is set up

This connection is set up for you rather than switched on in one click. Every source has its own logins, permissions and folder structure – so before we start, we check with you whether and how it can be connected at your company. Set-up and maintenance are charged on a time-and-materials basis, agreed in advance; the amount depends on the source.

You can also upload files, whole folders, emails, photos and voice notes at any time. In the demo you see the answers using sample documents from your industry; you check them against your own documents in the first weeks after go-live.

Preliminary check

What we check in advance

Before we start, we check what is stored in your files as documents: figures that exist only as a booking line, wage type or master record in the program are not documents – for those, a report would have to be saved as a file. If the Dokumentenverwaltung-/Belegverwaltung plus module is in use, the documents are deliberately shielded from file system access as part of their audit-proof storage, and the agreed export is the route there. Anything in the FinanzOnline DataBox (the Austrian tax authority’s online mailbox) is included once it has been added to the client file. And through the client master data, you decide what is included at all – clients you no longer act for can be left out.

FAQ

Frequently asked questions about this connection

We keep client files going back twenty years. Will everything be included, or just the current financial year?

You decide the selection, and it doesn’t have to be by year. A common approach is to start with your current clients and take their last few financial years; former clients and files kept only for retention can be left out. Adding more later is a separate run, and the existing content stays in place. We recommend keeping the first selection fairly narrow – adding later is easier than weeding out.

Everything here is organised by client, not by folder. How does an answer find the right client?

Client and file master data come across through the export, so client number, financial year and receipt series are kept as field values. The answer names the client, the year and the document as its source. If two versions of an annual financial statement exist side by side – before and after the tax audit – both are named with their dates. Someone at your firm confirms each document’s type on the first run, because visibility depends on it. In the first weeks after go-live, we go through the answers with you using real questions about your own documents.

What happens at the next RZL update?

Nothing in RZL itself is changed, and an update usually needs no action on our side. If it moves the document directory or changes the export template, no new documents are added until the set-up has been updated; the existing content stays in place. We’re happy to coordinate the update with your RZL support partner; it is charged on a time-and-materials basis, agreed in advance. A quick note before a major version upgrade helps, so we can check the route at the same time.

The trainee tax adviser shouldn’t be able to see every personnel file.

That’s exactly what visibility by document type and role is for: payroll and HR documents can form a separate document type that only payroll staff can see, while annual financial statements and correspondence with authorities are shared more widely. A cut-off date is also possible, for example for someone who only joined the firm this year. If someone lacks permission, the system tells them so – rather than showing the payslip.
