AI knowledge base for architects and engineering consultancies when someone asks which plan revision is current.

Plans with their revisions, building permits, tenders, minutes and certificates in one place, every answer with its source. Your CAD software is not connected; Microsoft 365 connects in one click, subject to admin consent; before we start, we check whether your project storage on the server can be connected. The demo uses sample documents; whether the answers hold up for your projects becomes clear in the first weeks after go-live.

Everyday question

“Which plan revision is current for the site, and what has changed since the previous index?”

The answer is in

Construction drawing index C · drawing register

Day to day

Sound familiar?

  • The site foreman rings from site wanting to know whether revision C is the current one now. The folder has three versions of the same floor plan, and the newest isn’t necessarily the approved one.

  • Which conditions were in the 2019 building permit, and which of them have been dealt with?

  • What was agreed at the site meeting is buried in an email attachment. Two years later, that’s exactly what the client asks about.

On Thursday morning a client rings whose house you designed in 2016. He’s selling, and the estate agent wants as-built plans and the energy performance certificate. An energy performance certificate is valid for ten years from the date of issue – so the question is exactly when the original was issued, and that isn’t in the folder name. The prospective buyer also asks about the deviation on the staircase that was agreed with the authority at the time. The project manager who handled it left the practice four years ago. The project folder has fourteen subdirectories, one called “Einreichung_alt”, another “Einreichung_NEU_2016”; nowhere does it say which one belongs to the permit. The authority’s consent to the deviation came in a two-sentence email from an official who retired long ago. An hour later the site supervision on a current project gets in touch about a claim for additional costs: the contractor is relying on an instruction given at a site meeting, and the site diary has a single sentence on it.

Basic package

from€500per month

Set-up fee €2,900 · excl. VAT

A flat fee per company. Everyone in your firm can use it – from reception to the partners – with no per-user licence. One-click connections are included in the set-up. Before we start, we check whether your industry-specific software can be connected; that connection is charged on a time-and-materials basis, agreed in advance.

Drafts as Word, PDF or email are included in the Premium package.

At the kick-off we agree on twenty questions together – along with the documents each answer should come from. At sign-off we go through them together and look at what the system does with them. What follows from that is set out in the quotation.

Getting started

Where to start

Start with a completed project, not the current one: planning submission, permit, drawing register, minutes and the documents from acceptance of the works. With a project whose outcome you know, you’ll quickly see in the first weeks after go-live whether the answers and sources hold up. Until the connection to your project storage has been checked and set up, you upload files: the project folder in one go, the correspondence with the authority and the site supervision, scans of the old submission folders. If it works for one project, add the next.

FAQ

Frequently asked questions

Two versions of the same floor plan, neither with an approval note. What does the system say?

It doesn’t decide. The answer lists both plans with index and date and, where available, the drawing register and the email or minutes that show an approval – or don’t – each with its source. Whether it makes the missing approval note clear is an obvious thing to check in the first weeks after go-live. A person in your practice still decides which version is current; they just no longer have to search the whole folder to do it.

Does this replace our deed archive?

No. For deeds drawn up electronically and for public deeds on paper whose originals remain with you, the Ziviltechniker Act 2019 (ZTG 2019) provides for retention of at least thirty years; § 71 ZTG 2019 is the basis for the Federal Chamber’s deed archive, to which this obligation passes once storage there is confirmed. None of that changes. The knowledge base is something else: it makes the rest of your project files – plans, permits, minutes, correspondence – searchable, with sources, and it doesn’t store or move anything in your filing system.

The authority’s consent to a deviation is in a two-sentence email. Can you find something like that?

If the mailbox is included, yes. You choose which mailboxes and folders are mirrored; emails go into the knowledge base with their attachments. The answer then gives the email, with sender and date, as the source. In the first weeks after go-live, try it with a case you know to see whether short emails like this can be found among many others. Nothing in the mailbox itself is moved, flagged or deleted, and nothing is sent from it – at most, drafts are created.

Besides plans, our project storage holds fee documents, internal cost calculations and competition entries. Will everyone see those?

Only if you decide so. Permissions work by document type and role, not by individual file: plans, permits and minutes are open to the project team, fee and calculation documents stay with management, and a separate group can be set up for documents from ongoing competitions. Someone confirms the document type, because that is exactly what visibility depends on. During onboarding you can use a restricted role to see what comes back when someone asks about fee documents.
