Knowledge base for property management companies for when someone asks about the 2019 resolution.
Owners’ meeting minutes, resolutions, contracts, property files and correspondence in one place, every answer with its source. The demo uses sample minutes; in the first weeks after go-live you test the answers against minutes from your own properties that you know well.
Everyday question
“What was decided about the façade in 2019?”

Sound familiar?
What did we decide about the façade in 2019, and by what majority?
Which contracts run out in 2027, and when do we have to give notice?
Every time an owner asks something, it means wading through years of meeting papers.
Friday, just before half past four; the only one left in the office is the clerk who has only looked after the building since it was taken over last year. An owner from the building on Wattgasse rings: water is dripping in the stairwell, and he wants to know whether the riser pipe wasn’t already approved in 2021 and which firm sent the quotation back then. The minutes are in the property folder, the consent forms for the written vote are in an email thread belonging to a colleague on parental leave, and the quotation is a scan in a folder someone called “new”. Nobody remembers when the resolution was put up in the building. By the time the answer is ready it’s Monday – and by then the owner has forwarded his question to the other co-owners. Two of them ring as well. The riser pipe was in the forward plan all along; nobody noticed until the annual statement.

Connecting your systems
Your system stays as it is. One-click systems connect via your account; for the others we check before we start whether and how a connection is possible – until then, you simply upload documents.
Pricing
What it costs
Basic package
Set-up fee €2,900 · excl. VAT
A flat fee per company. Everyone in your firm can use it – from reception to the partners – with no per-user licence. One-click connections are included in the set-up. Before we start, we check whether your industry-specific software can be connected; that connection is charged on a time-and-materials basis, agreed in advance.
Drafts as Word, PDF or email are included in the Premium package.
At the kick-off we agree on twenty questions together – along with the documents each answer should come from. At sign-off we go through them together and look at what the system does with them. What follows from that is set out in the quotation.
Getting started
Where to start
Start with the two or three properties that generate the most enquiries, and upload the meeting minutes first, together with resolutions and proof of posting from the last ten years – that is where many owners’ questions lead. In the first weeks after go-live, ask questions you know the answers to and check whether resolution, majority and posting date come with the right source. Next comes the correspondence for those same properties, as whole mailbox folders: especially with resolutions passed by circulation, the consent is in the email thread, not in the binder. After that, the management, maintenance and supply contracts. Someone from your company confirms once whether a document is a set of minutes, a quotation or a statement of account – that later determines who can see it. SharePoint connects in one click, subject to admin consent in your Microsoft 365 account. For the file server, a small read-only component runs on the server that holds the files; that connection is charged on a time-and-materials basis, agreed in advance.
FAQ
Frequently asked questions
Can this tell us whether a resolution was validly passed?
You can ask what the minutes say: who was present, how the shares were distributed, how the vote went and when the resolution was posted in the building; the answer shows the source each time. The legal assessment stays with you. In practice the posting date is particularly valuable: the one-month period under § 24(6) WEG 2002 (the Austrian Condominium Act) runs from the posting in the building, not from the day of the meeting, and for resolutions on extraordinary management measures the separate period under § 29 WEG 2002 also applies. The documents often mention this date only in passing; whether it shows up in the answers depends on whether the proof of posting is in the collection – a good thing to check in the first weeks after go-live.
We’re taking over a property from another management company – what do we do with the mountain of files?
The whole handover can go in as it is: minutes, contracts, statements of account, correspondence – including scanned and unsorted documents. The system suggests the property, unit number and date; someone from your company confirms the document type, because that determines who sees the document later. Afterwards it’s worth asking what is missing: which resolution has no proof of posting, which maintenance contract exists only as invoices. If the system finds nothing, it tells you so – and in a takeover, that is the start of the list you have to draw up anyway. In the first weeks after go-live, try it on one property to see how well it copes with an unsorted handover.
Does it help with the forward plan and the statement of account?
For the forward plan under § 20(2) WEG 2002 it can gather what is documented for a property about upcoming maintenance and improvement works, quotations and resolutions, and turn it into a draft in Word or Excel for you to work on. For the statement of account, which must be presented to the owners within six months of the end of the accounting period, you can ask for the receipts behind an item, the resolution authorising the expenditure and the quotation it was based on – each with its source. The figures themselves still come from your accounts; nothing is calculated here.
Water’s dripping in the stairwell and the owner is on the phone. How does this help in the first hour?
In that first hour, people typically ask for the building insurance policy for that property, including the excess, the caretaking or maintenance contract with the agreed response time, earlier burst pipes on the same riser, and any resolution ever passed on that pipe. If these documents are in the collection, the answer gives the source for each; if the system can’t find something, it tells you so. Whether the costs fall on the reserve fund or the insurer is not for the system to decide. The best test of whether it helps on the phone is a claim from last year, in the first weeks after go-live.
