Files from Advokat ask questions of your case files and get the source.

Pleadings, draft contracts, correspondence and file notes from Advokat go into your knowledge base. Your own instance on servers in Germany, the language model in an EU data centre, and no training on your data.

Connection

How the connection works

We check before we start whether and how Advokat can be connected – that depends on the version, your licence and whether Advokat runs on-premises or hosted. As far as we know today, nothing stands in the way, but the route for a given installation is only confirmed after the check. junova mirrors the Advokat document directory to your own instance, encrypted, read-only and over outbound connections only. File and client master data can be added through an export, so that answers can be matched to the right file.

Once set up, synchronisation runs automatically: new and changed documents from Advokat are added without anyone having to upload anything.

Set-upOnce the feasibility check is done, we estimate the effort and agree it with you before anything is set up – with your Advokat support partner, if you wish. The set-up is charged on a time-and-materials basis, agreed in advance.

Documents

Typical content: Advokat

  • The electronic file including file notes – from the initial consultation through the correspondence to the statement of costs
  • Everything sent and received via WebERV (Austria’s electronic legal communication system with the courts): statements of claim, defences, court orders, summonses and the related proofs of service
  • Deeds and enclosures on the file: powers of attorney, contracts, land register and company register extracts
  • Fee notes with the recorded work behind them, plus correspondence with the legal expenses insurer about cover
  • Enforcement and debt collection documents: enforcement titles, enforcement applications, garnishee statements, instalment agreements
  • Documents created from your own templates – the collection you draw on for the clause in the next case

Start

Before a connection is set up

This connection is set up for you rather than switched on in one click. Every source has its own logins, permissions and folder structure – so before we start, we check with you whether and how it can be connected at your company. Set-up and maintenance are charged on a time-and-materials basis, agreed in advance; the amount depends on the source.

You can also upload files, whole folders, emails, photos and voice notes at any time. In the demo you see the answers using sample documents from your industry; you check them against your own documents in the first weeks after go-live.

Preliminary check

What we check in advance

The system reads documents, not database fields. So a question about deadlines in the next few weeks draws on documents – a summons, a court order, a deadline set in a pleading – not on the deadline register: the register in Advokat remains authoritative for deadlines, and nothing is written to it. Fee entries and unpaid items are covered only where they appear in a fee note or a letter. Before we start, we clarify whether your documents are stored as files in the directory or in the database, and whether your installation runs on-premises or hosted – that depends on the version and your licence. The documents must exist digitally; paper files would need to be scanned first.

FAQ

Frequently asked questions about this connection

Our files from before 2015 exist on paper and as scans on the server. Will they be included too?

The scans, yes: they can be connected like the Advokat directory or uploaded, including whole folders at once. Scans without a text layer go through text recognition (OCR) as they are read in; how well that works on faded copies or handwritten notes only becomes clear with your actual documents. Old documents deserve a careful eye: a clause from 2009 is not necessarily still good law – which is why the answer gives the date. Anything that exists only on paper would need to be scanned first; whether that is worth it depends on how often those files are needed.

Everything here is filed by file number. Do I need to know the file number to find anything?

No. You can ask by client, opposing party or matter; from the file and client master data in the export, the system knows which file number goes with it, and the answer gives the number as part of the source. You can also go the other way and ask about a file number to see the pleadings and notes filed under it. If a matter spans several files – main proceedings, enforcement, a second instruction years later – a question about the client brings up all of them, and you decide which one you meant. The demo shows this with sample documents from your field; you’ll test it with your own files in the first weeks after go-live.

What happens when Advokat is updated, or if we switch to a hosted version?

An update doesn’t usually affect the integration: it only reads, nothing in Advokat is changed, and the path and structure usually stay the same. Switching to a hosted version, on the other hand, changes how the files are reached – no longer through a directory on your server – and what replaces it depends on what the provider makes available to you. Tell us the date in advance and we’ll clarify this with your support partner before the switch. If a sync fails, the log shows it and we get in touch; any adjustments are charged on a time-and-materials basis, agreed in advance.

Some of our files are behind an ethical wall. Can the system respect that?

Yes, through document types and roles rather than individual files. A walled-off area gets its own type that only the people responsible can see; anyone else gets a notice that they lack permission, not a shortened answer. You can also set a cut-off date, for example so that trainee lawyers only have access from the day they joined. Every firm has its own instance, and no model is trained on your data. We agree with you how to define these areas before the set-up.
