AI knowledge base for building services engineers (MEP) when someone asks which design revision applies and what was balanced.
Heating and cooling load calculations, riser schematics, specifications of services, balancing and commissioning reports and project correspondence in one place, every piece of information with its source. Calculation and CAD programs are not connected; Microsoft 365 connects in one click, subject to admin consent; before we start, we check whether your project storage on the server can be connected. The demo uses sample documents; in the first weeks after go-live you see whether the answers hold up for your projects.
Everyday question
“What heating load was calculated for the school extension, and with which boundary conditions?”
The answer is in
Heating load calculation · calculation assumptions

Sound familiar?
The installer rings from site: which riser is on which pump? The schematic is in the project folder four times, and three of them have no date.
The project manager knows what heating load was calculated for the school extension in 2021. He’s been at another firm since May.
The site supervision (ÖBA) recorded the balancing of the ventilation. The report’s attached to an email from last year, and the system hasn’t run the way it was calculated ever since.
Friday afternoon, a call from the care home you designed in 2019: hot water sampling has produced an abnormal result, and the operator wants to know by Monday what was originally designed. What temperatures were specified for the cylinder outlet and circulation, how are the branch pipes to rarely used rooms routed, and was thermal disinfection actually included in the controls? The hygiene plan under ÖNORM B 5019 went out as an attachment at the time; it isn’t in the project folder. The functional description of the building automation exists in three versions, two of them with no date in the title block. The commissioning report was scanned and is called Scan_0047. On Friday evening two people are sitting in the office leafing through a folder that three people have filed into.

“What heating load was calculated for the school extension, and with which boundary conditions?”
1 Heating load calculation · calculation assumptions
“Which riser is on which pump, and which drawing revision applies?”
2 Riser schematic index C · drawing list
“What was measured when the ventilation was balanced, and which defects are outstanding?”
3 Balancing report · defect list from acceptance
Documents
The documents that matter to you
- Heating load calculations under ÖNORM EN 12831 with the Austrian supplementary standard ÖNORM H 7500, and cooling load calculations under ÖNORM H 6040, each with the boundary conditions used
- Riser, system and schematic diagrams for heating, cooling, ventilation and plumbing with drawing revision and index
- Energy performance certificates and the records for OIB Guideline 6, plus option comparisons for heat generation
- Specifications of services and tender documents, also in the exchange format under ÖNORM A 2063, plus bid evaluations and award recommendations
- Hygiene documents for central domestic hot water heating under ÖNORM B 5019 and for keeping ventilation systems clean under ÖNORM H 6021
- Commissioning, balancing and measurement reports – hydraulic balancing, air volumes, leak tests and pressure tests
- Data point lists and functional descriptions of the building automation, including the control strategy stored in them
- Site meeting minutes, reports from the site supervision, acceptance records, defect lists and the operating and maintenance instructions for handover

What it costs
Basic package
Set-up fee €2,900 · excl. VAT
A flat fee per company. Everyone in your firm can use it – from reception to the partners – with no per-user licence. One-click connections are included in the set-up. Before we start, we check whether your industry-specific software can be connected; that connection is charged on a time-and-materials basis, agreed in advance.
Drafts as Word, PDF or email are included in the Premium package.
At the kick-off we agree on twenty questions together – along with the documents each answer should come from. At sign-off we go through them together and look at what the system does with them. What follows from that is set out in the quotation.
Getting started
Where to start
Start with a project whose systems are already running – that’s where the questions come from, not from current design work. Upload the calculations, the applicable schematics with their index and the commissioning and balancing reports first, then site meeting minutes and correspondence. In the first weeks after go-live, ask questions you know the answers to, and check the sources. Connecting your project storage only pays off once you see what people actually ask; before we start, we check whether it can be done, and the connection is set up and charged on a time-and-materials basis, agreed in advance.
FAQ
Frequently asked questions
For one part of the building there are five versions of the same schematic side by side. How does the system know which one applies?
It doesn’t know, and it doesn’t claim to. For each version, the answer gives the drawing revision, index and date from the title block; whether it makes clear that several revisions exist is worth checking in the first weeks after go-live. If your records include a drawing list, that can come in as a second source – then one answer shows you what the folder contains and what the list says about it. You decide which revision was approved for construction.
Our design work lives in calculation programs, not in files. Is it any use then?
What goes into the knowledge base is what you issue anyway: the calculation printout as a PDF, the schematic, the specification of services, the file in exchange format. That’s exactly what people ask about later, because it’s also what the client and the contractor received. We don’t connect your calculation and CAD programs themselves, and nothing in them is changed. In the first weeks after go-live, try a completed project to see whether calculation printouts and exchange-format files can be searched usefully.
Can the system prepare a letter to the contractor if the balancing isn’t right?
It can produce a draft – in Word or as an email draft – in which every statement has its source: the target value from the calculation, the measured value from the balancing report, the item from the site meeting minutes with its date. Nothing is sent automatically. Whatever actually goes out is still checked and signed by someone at your firm.
We work with different site supervisors and sub-consultants on each project. Who sees what?
Visibility depends on document type and role. Calculations, schematics and reports can be opened up to a project role, while fee agreements, costings and internal correspondence stay in the office. Anyone without access to a document doesn’t get its content. Before we start, we work out with you how to map your changing project teams this way.
The contractor delivers the as-built documents as a PDF package, plus data point lists in Excel. What does the system do with them?
You upload the package as a whole folder, spreadsheets included; the answer gives the file and its revision as the source. In the first weeks after go-live, check whether the data point list from handover can still be told apart from the tender version. The system suggests system, project and date; a person confirms the document type – as-built documents and design revisions are not the same thing. If the system finds nothing on a point, it tells you so.
