Documents from your Werbas vehicle history ask questions right at the ramp.

Jobs, invoices, inspection reports and vehicle files from Werbas go into your knowledge base – your own history, not just the manufacturer’s data.

Connection

How the connection works

We check before we start whether and how Werbas can be connected – that depends on your modules, set-up and where files are stored. junova mirrors the Werbas document directory to your own instance, encrypted, read-only and over outbound connections only. Vehicle, customer and job master data can be added through an export, so that you can ask by number plate or VIN.

Once set up, synchronisation runs automatically: new and changed documents from Werbas are added without anyone having to upload anything.

Set-upWe estimate the effort as soon as it is clear how Werbas stores files in your set-up, and agree it with you before anything is set up – with your support partner, if you like. The set-up is charged on a time-and-materials basis, agreed in advance.

Documents

Typical content: Werbas

  • Workshop jobs with the labour time units, the parts fitted and the approval the customer gave over the phone
  • Cost estimates and damage assessments, along with the correspondence with the insurer
  • § 57a reports (Austria’s periodic roadworthiness inspection, the “Pickerl”) and their defect lists – including defects already noted at last year’s inspection
  • Vehicle files with VIN, number plate, vehicle registration document (Typenschein) or data extract from the type-approval database
  • Warranty and goodwill claims to the importer, together with photos of the damage
  • Delivery notes, invoices and credit notes from parts purchasing, matched to the job

Start

Before a connection is set up

This connection is set up for you rather than switched on in one click. Every source has its own logins, permissions and folder structure – so before we start, we check with you whether and how it can be connected at your company. Set-up and maintenance are charged on a time-and-materials basis, agreed in advance; the amount depends on the source.

You can also upload files, whole folders, emails, photos and voice notes at any time. In the demo you see the answers using sample documents from your industry; you check them against your own documents in the first weeks after go-live.

Preliminary check

What we check in advance

Before we start, we check where Werbas stores documents in your set-up: as files or in the integrated archive. That depends on your modules and set-up – and on whether you run Werbas on its own or the extended version with KSR. We choose the route on that basis, before any effort is incurred. Content that is only displayed from third-party systems on request – parts catalogues, manufacturer specifications, standard labour times – is not included: it doesn’t belong to you and stays in the relevant portal. The knowledge base is for your own records – the job you did back then, not the manufacturer’s manual.

FAQ

Frequently asked questions about this connection

We have vehicle files going back fifteen years – will the old history come across?

That depends on whether the old documents exist as files; we check that beforehand. You decide how far back the initial run goes; after that, only newly written documents are added. For vehicles you have looked after for years, the answer is often in an old job: which timing belt was fitted, when the brake fluid was last changed, what was already noted at the last inspection. That is exactly what customers ask when they ring up wanting to know whether that wasn’t already an issue last time.

Everything here is tied to the number plate. What happens if the vehicle is sold on?

That’s what the vehicle master data is for: the VIN stays the same even if the number plate changes, the car changes hands or was off the road for a while. You can ask by either; the answer names the job it comes from. Your sorting by number plate is read as it is, not rebuilt. The tricky case is an interchangeable number plate registered to two vehicles: without the VIN, a question can land on the wrong history – so here it pays to check the source.

Werbas is updated all the time. Will the integration break?

Nothing is installed or changed in Werbas itself; only the stored files are read, and a new version doesn’t usually affect them. If an update moves the storage path, you’ll notice because new jobs stop arriving in the knowledge base. The path is then set up again, and existing documents are kept. It’s easier if we know about a major update before it is installed.

Can the apprentice see the repair history without seeing the purchase prices?

That’s up to you. Permissions are tied to document types and roles, not to individual files: jobs and inspection reports for everyone in the workshop, say, and purchase prices, costings and correspondence with insurers and assessors for a smaller group. For someone helping out over the summer, you can also set a cut-off date. If someone lacks permission, the system tells them so rather than answering anyway. Your user permissions in Werbas stay as they are.
