Search Scan-to-Folder find delivery notes and reports in the scan folder.

Delivery notes, inspection reports, signed orders and the daily post: everything the multifunction device saves to the scan folder goes into your AI knowledge base – including pages scanned only as images, without a text layer.

Connection

How the connection works

Your device keeps saving to the same place as today, and a sync mirrors the scan folder to your own instance, encrypted, read-only and over outbound connections only. There, the scans go through text recognition (OCR); the suggested document type is confirmed by someone during the first run, because it decides who can see the document. Before we start, we check with you how your device and storage location can be connected – that depends on the device, the storage location and its settings. Until the connection is in place, you can upload individual scans, whole folders and photos.

Once set up, synchronisation runs automatically: new and changed documents from Scan-to-Folder are added without anyone having to upload anything.

Set-upWe estimate the effort once we know where and how your device saves, and agree it with you before anything is set up. The set-up is charged on a time-and-materials basis, agreed in advance. As a rule, nothing needs changing on the multifunction device itself.

Documents

Typical content: Scan-to-Folder

  • Signed delivery notes and installation reports the technician brings back in the evening – often fed through the document feeder as a stack, with many pages in one file.
  • Daywork sheets and timesheets signed by the site manager – the signature is usually why the sheet goes through the scanner at all.
  • The daily post: incoming invoices, credit notes, reminders, letters from authorities and chambers.
  • Inspection reports, measurement records and handover reports that only ever existed on paper.
  • Manufacturer leaflets from the box: declaration of performance, data sheet, installation and maintenance instructions.
  • Handwritten notes – the sketch on the site note, the measurement slip, the remark on the back of the order.

Start

Before a connection is set up

This connection is set up for you rather than switched on in one click. Every source has its own logins, permissions and folder structure – so before we start, we check with you whether and how it can be connected at your company. Set-up and maintenance are charged on a time-and-materials basis, agreed in advance; the amount depends on the source.

You can also upload files, whole folders, emails, photos and voice notes at any time. In the demo you see the answers using sample documents from your industry; you check them against your own documents in the first weeks after go-live.

Preliminary check

What we check in advance

Before we start, we look at how your device saves and whether it can set file names, subfolders or separator sheets itself – that depends on the model, firmware and enabled features. Scans go through text recognition (OCR); how well that works on faded copies or handwriting, such as a margin note on a daywork sheet, only becomes clear with your files. A stack fed through in one go starts out as a single file; whether it can be split into individual delivery notes depends on something to split by – a separator sheet, a barcode, a recurring header – and setting that up takes effort. Device file names usually say little about the content; the search is based on what is on the page, and if the order number isn’t there, someone has to add it. We also check whether a new device might reset the sequential numbering, so that one scan doesn’t overwrite another.

FAQ

Frequently asked questions about this connection

We’ve been scanning into the same folder since 2016 – does the whole pile have to come across?

That’s up to you, and the pile doesn’t have to come across all at once. A common starting point is the years still under warranty, when records are most often asked for; older years can be added later. Nothing needs rescanning – the PDFs from back then are already in the folder and are simply read. You can also upload a single old folder beforehand; that needs no set-up.

Our device saves by month, and for some colleagues by employee. Does that work?

Both work: nothing in your folder structure is moved or renamed, and a scan’s folder is kept as its origin, so the answer says which scan it comes from. The month folder is only a hint – a page dated 27 June that was scanned on 2 July is filed by the date on the page. The demo shows this with sample documents; you’ll see how it handles your own catch-all “Miscellaneous” folder, where everything unsorted ends up, in the first weeks after go-live.

What if we replace the multifunction device or the scan folder moves to a new server?

The connection is tied to the folder, not the device. When the device is replaced, your dealer sets the scan destination on the new one, just as now; whether you then scan in colour, double-sided or at a different resolution usually makes no difference to the sync. If the folder moves or the share is renamed, just let us know – the sync is switched to the new path, and files already captured stay as they are. If the device is out of action for a few days, there will be a gap in the folder until scanning resumes.

Everyone in the company has access to the scan folder. Will everyone see everything in the AI knowledge base too?

No. The wide-open Windows share is not copied one to one – it is usually only that open so the device can save to it. In your instance, permissions are tied to document types and roles: the technicians might see delivery notes, plans and installation reports, while payroll sees scanned personnel documents; for someone who joined this year, a cut-off date can be set. If someone lacks permission for a scanned employment contract, the system tells them so rather than offering something else in its place. Before we start, we decide together which roles you need.
