Search Google Drive and Gmail an AI knowledge base for Google Workspace.
Documents from Google Drive and your shared drives – quotes, plans, site photos, correspondence – go into your knowledge base, along with customer emails from Gmail if you wish. Access is read-only; nothing in Google Workspace is changed.

“Which version of the quote for Huber applies – the one from March or the one from May?”

How the connection works
You connect through Google itself: you approve the folders, shared drives or mailboxes that can be read – nothing more. What your account is allowed to approve depends on your licence and your administrator’s policies. Alternatively, a mirrored folder works too: a computer on your premises keeps a folder in sync with Drive, and that folder is mirrored to your instance, encrypted and over outbound connections only. Before we start, we agree with you which route suits you.
Once set up, synchronisation runs automatically: new and changed documents from Google Workspace are added without anyone having to upload anything.
Set-upConnected in one click and included in the set-up: you link it through your Google account, subject to admin consent in your account. We go through the selection with you beforehand – ideally with whoever manages your Google Workspace account.
Documents
Typical content: Google Workspace
- Shared drives – the project folders that belong to the company rather than to one account
- Google Docs and Sheets: quotes, measurement lists and timesheets kept in Google format rather than as Word or Excel files
- Photos that made their way from phones into “My Drive” – the wall before installation, the rating plate, the meter reading, the damage on delivery day
- Scanned PDFs: delivery notes, inspection reports, signed order confirmations
- Customer emails in Gmail with their attachments, organised by labels instead of folders – one email can have several labels
- Google Forms and the sheets behind them – handover records, defect lists, holiday requests

Start
Before a connection is set up
You connect it in one click via your account, and it is included in the set-up, subject to admin consent in your account. Together we agree which folders and areas to include.
You can also upload files, whole folders, emails, photos and voice notes at any time. In the demo you see the answers using sample documents from your industry; you check them against your own documents in the first weeks after go-live.
Preliminary check
What we check in advance
Before we start, we check what format your documents are in: Google Docs are not ordinary files, and with a mirrored folder the computer often holds only a shortcut – in that case they need exporting to PDF or Office format, which we plan for. We clarify what is stored only in individual accounts’ “My Drive”, because that belongs to the account, not the company. The system reads the text of each document; comments, suggestions and revision history are not included. We check separately whether photos are in Google Photos rather than Drive.
FAQ
Frequently asked questions about this connection
Our project folders go back to 2015. Will the old material be included?
Yes, for the folders you choose – old drawings in particular are often found nowhere else. The date is attached to each document as an attribute, so the answer shows which year and which drive the source comes from. Beforehand, it’s worth checking what is stored only in individual accounts’ “My Drive”; ideally, move that to a shared drive. Before the set-up, we clarify with you whether older Google Docs need exporting.
Everyone here organises Drive in their own way. Is that a problem?
Usually not, because the search works on content: the text of the quote, the scanned invoice, the caption on the photo. Where a folder name tells us something – customer name, order number, year – we carry it over as an attribute; in Gmail, your labels do the same job. More important than reorganising is that project folders sit in a shared drive rather than in one person’s account. In the first weeks after go-live, we go through the answers with you using real questions about your own documents.
If we change plans or delete an account – will that break the connection?
That depends on the Admin console, not on updates: nothing is installed in Google Workspace itself. Under API controls, app access control decides which apps can access Drive and Gmail – if access is revoked or third-party apps are blocked, the sync stops, and the knowledge base shows the state at the last sync. The same applies to a deleted account that still owns folders. The consent is then set up again; using shared drives makes this happen less often.
The apprentice should see the site documents, but not the costings. Is that possible?
Yes, through document types and roles: drawings, installation instructions and inspection reports for everyone in the workshop, and costings and payroll only for the roles that deal with them. The system picks out the customer, order and date itself; whether a PDF counts as an inspection report or a costing is confirmed by someone on the first run. Your sharing settings in Drive stay as they are. Before we start, we decide together which roles you need.
