The electronic file from RA-MICRO search your case files, with sources.

Pleadings, draft contracts, correspondence and file notes from the electronic file become searchable in the AI knowledge base, and every answer names its source. Your own instance on servers in Germany, the language model in an EU data centre, and visibility by document type and role.

Connection

How the connection works

We check before we start whether and how RA-MICRO can be connected – that depends on the version, your licence and hosting; with a hosted set-up, the provider would have to grant read access. Whether documents in the electronic file are stored as files in the data directory or in the system’s database depends on your installation. If they are files, junova mirrors the directory to your own instance, encrypted; otherwise, an agreed, scheduled export is used. The case and client master data come across through an export, so that answers are matched to the right file number. Nothing in RA-MICRO is changed.

Once set up, synchronisation runs automatically: new and changed documents from RA-MICRO are added without anyone having to upload anything.

Set-upThe feasibility check shows whether a sync of the document directory is enough or an export of the case master data is needed as well. We then estimate the effort and agree it with you before anything is set up – with your RA-MICRO support partner, if you like. The set-up is charged on a time-and-materials basis, agreed in advance.

Documents

Typical content: RA-MICRO

  • Pleadings on file: statements of claim, defences, applications and appeals, with the list of exhibits and the exhibits themselves.
  • Court documents as they are added to the file: payment orders, rulings, judgments, summonses, hearing transcripts and enforcement orders.
  • Correspondence and notes: letters to clients and opposing counsel with attachments, phone notes, meeting notes and file notes.
  • Documents on file: powers of attorney, contracts and draft contracts, extracts from the company register (Firmenbuch) and land register, deeds from the deeds collection.
  • Everything attached to the file account: fee notes, cost statements, time records and disbursements such as court fees and flat-rate charges.
  • The firm’s collection of templates and standard clauses, built up over the years: contract templates, standard pleadings and wording that has proved itself in your own practice.

Start

Before a connection is set up

This connection is set up for you rather than switched on in one click. Every source has its own logins, permissions and folder structure – so before we start, we check with you whether and how it can be connected at your company. Set-up and maintenance are charged on a time-and-materials basis, agreed in advance; the amount depends on the source.

You can also upload files, whole folders, emails, photos and voice notes at any time. In the demo you see the answers using sample documents from your industry; you check them against your own documents in the first weeks after go-live.

Preliminary check

What we check in advance

The deadline calendar stays where it is: a deadline stated in a document is given with its source, but it is still entered, calculated and monitored in your law firm software. Before we start, we check whether information attached to the file sheet rather than to the document – notes, follow-ups, party roles – can be exported as well; that depends on the installation and the chosen route. An item in the electronic inbox comes across once it has been added to the file. Nothing is written back: signing, filing and sending stay with you.

FAQ

Frequently asked questions about this connection

What about old files from before we went electronic?

Scanned old files can come across as long as they exist as files; scans without a text layer go through text recognition (OCR), and how well that works on faded copies only becomes clear with your files. You decide the scope – by year, by area of law, or only current files to begin with. Archived years in particular often contain the clause you used back then that could help in a similar case. The files must exist digitally; paper that was never scanned would need scanning first.

In the electronic file, every document has a sequential number. How does an answer reach the right file number?

The case and client master data come across through the export, so file number, client, opponent and date are kept as field values; anything missing there, the system reads from the document. The answer names the file, the document and the date so you can open the same place in the electronic file. If two versions of a draft exist side by side, both are named. The document type of each item is confirmed by someone in the firm during the first run, because permissions depend on it.

What happens with a software update or a switch to a hosted version?

The connection changes nothing in the program itself. If an update moves the data directory or a switch changes the access route, no new documents come in until the set-up is adjusted; existing files stay in place. When moving to a hosted environment, you need to find out whether the provider grants read access to the documents – that is the provider’s decision, and it’s best settled before the move. We coordinate the adjustment with you and your support partner; it is charged on a time-and-materials basis, agreed in advance.

Not every member of staff is allowed to see every file – how do we keep ring-fenced matters ring-fenced?

With visibility by document type and role, optionally from a cut-off date. Files that should stay ring-fenced, for example because of a potential conflict of interest, need not go into the knowledge base at all, or can be restricted to the role handling the matter. If someone lacks permission, the system tells them so rather than showing content. The instance belongs to your firm alone and runs on servers in Germany, the language model runs in an EU data centre, and no model is trained on your files.
