Search Microsoft 365 SharePoint, Teams and mailboxes, connected rather than copied.
Years of project files in SharePoint, files from Teams channels and client correspondence in your mailbox are connected rather than uploaded – with exactly the permissions you grant.

“What did we agree with the supplier about the complaint?”

How the connection works
You sign in through Microsoft itself: in the document view, you choose the source, sign in and grant access to the folders, libraries or mailboxes to be read – read-only, and only what you select. Depending on your licence and your Microsoft account settings, an administrator gives consent to this access once.
Once set up, synchronisation runs automatically: new and changed documents from Microsoft 365 are added without anyone having to upload anything.
Set-upConnected in one click and included in the set-up: you link it through your Microsoft account, subject to admin consent in your account. We go through the selection with you beforehand – ideally with your Microsoft administrator.
Documents
Typical content: Microsoft 365
- Project files built up in SharePoint over the years, library by library
- Files from Teams channels that were shared in a meeting and never properly filed afterwards
- Drafts and interim versions in individual employees’ OneDrive that never made it into the team files
- Emails and attachments from shared mailboxes, including functional mailboxes such as office@ or accounts@
- Quotes and contracts that exist side by side in several versions – in the team files, in OneDrive and as an email attachment
- Scans and photos backed up from a phone to OneDrive and left there ever since

Start
Before a connection is set up
You connect it in one click via your account, and it is included in the set-up, subject to admin consent in your account. Together we agree which folders and areas to include.
You can also upload files, whole folders, emails, photos and voice notes at any time. In the demo you see the answers using sample documents from your industry; you check them against your own documents in the first weeks after go-live.
Preliminary check
What we check in advance
The system reads file storage and mailboxes. Before we start, we check which of your content exists as documents: chat and channel posts, list entries, tasks, Planner and whiteboards are not documents in this sense. With a deleted account’s OneDrive, time is short – it is only kept for a limited period, and how long depends on your settings; anything still needed should be captured first. And if you run SharePoint on a server on your own premises, the route goes through file storage rather than access through your account – that is subject to a feasibility check, which we carry out before any effort is incurred.
FAQ
Frequently asked questions about this connection
Will files from previous years come across, or only what is added from now on?
The first run reads what is in the shared libraries, folders and mailboxes – including archive folders from years ago that nobody looks at any more. After that, only new and changed items are added. Before that, we go through your files together once: a library where templates and interim versions sit alongside the signed contracts doesn’t make for better answers. Anything that should stay out, you name beforehand.
We have the same file three times – in Teams, in OneDrive and as an email attachment. What happens to it?
All three go into the knowledge base, and the source shows where an answer comes from: library, channel, OneDrive or mailbox, each with a date. So you can see for yourself which version is more recent. Which version applies is for your company to decide – that isn’t a technical question, and we don’t tidy anything up. Often, though, this is exactly what prompts a clean-up of the files: where three versions sit side by side, the sources make it obvious.
Microsoft keeps changing things in 365. Will we have to keep readjusting?
Access relies on Microsoft’s official route, not on a user interface, so routine changes to 365 don’t usually affect it. It’s different when Microsoft changes the consent rules themselves: for read access to files and mailboxes, Microsoft switched in 2025 to a Microsoft-managed default setting under which an administrator gives consent instead of individual users. If a change like that affects an existing access grant, nothing new comes in, and the access is then renewed together with your administrator. Existing consents and your own consent policies usually remain unaffected.
Does the AI knowledge base adopt our SharePoint permissions?
This is deliberately handled differently. Nothing changes in SharePoint or in the mailbox; in the AI knowledge base, permissions are defined afresh and tied to document types and roles, not to individual files. What you share is read; who can see it afterwards is up to you – management files and personnel records are usually more restricted than the project libraries. For someone who has only recently joined, you can set a cut-off date. If a person lacks permission, the system tells them so rather than answering from a document they aren’t allowed to see.
