Documents from Kieselstein production and projects, answered with the source.

Bills of materials, routings, project documents and correspondence from Kieselstein go into your knowledge base – read-only, with nothing changed in Kieselstein itself.

Connection

How the connection works

We check before we start whether and how Kieselstein can be connected – that depends on the version, how document storage is set up and where it is hosted. junova mirrors the Kieselstein document directory to your own instance, encrypted, read-only and over outbound connections only. Item, project and customer master data can be added through an export.

Once set up, synchronisation runs automatically: new and changed documents from Kieselstein are added without anyone having to upload anything.

Set-upHow much set-up is needed depends on how Kieselstein stores documents in your case. Once the feasibility check is done, we estimate the effort and agree it with you before anything is set up – with your support partner, if you like. The set-up is charged on a time-and-materials basis, agreed in advance.

Documents

Typical content: Kieselstein

  • Bills of materials with their revision levels – including assemblies taken over from design engineering
  • Routings with the operations for each bill of materials, including set-up and unit times
  • Production lot documents: what is filed with the lot, the material withdrawals and the paperwork for subcontracted work
  • Drawings, data sheets and test certificates attached as documents to the item or bill of materials
  • Quotes, order confirmations and invoices that end up in document storage when they are printed
  • Purchase orders and supplier order confirmations from purchasing, plus the goods receipt paperwork

Start

Before a connection is set up

This connection is set up for you rather than switched on in one click. Every source has its own logins, permissions and folder structure – so before we start, we check with you whether and how it can be connected at your company. Set-up and maintenance are charged on a time-and-materials basis, agreed in advance; the amount depends on the source.

You can also upload files, whole folders, emails, photos and voice notes at any time. In the demo you see the answers using sample documents from your industry; you check them against your own documents in the first weeks after go-live.

Preliminary check

What we check in advance

Before we start, we check whether your set-up has a directory that can be mirrored. Kieselstein can also keep documents in its own document database, which a mirrored folder cannot reach directly. In that case, the options are the file-based variant of the document database or an additional document storage path in the file system, with the export recipe as a further route. We clarify which setting you use before any effort is incurred. We also check which content exists as documents: an operation that is only a line in the routing comes across once the routing is in document storage as a printout or export.

FAQ

Frequently asked questions about this connection

We have lots and bills of materials going back twenty years – will the old records come across?

Yes: the initial run takes in as much of the old records as you release; after that, only new or changed items are added. That matters most for assemblies that haven’t been built for years: often the only drawing for the 2009 lot is there, and when a customer wants a spare part for it, everything hinges on that document. The same goes for tracing a complaint back through serial or batch numbers. You decide how far back the mirroring goes – year by year, if you want to start with recent years and add more later.

Our documents are filed by item and lot, not in folders. Will that be reflected?

Yes: if a document is filed under an item or lot number, that link comes across and appears later in the source. If the master data is included in the export, you can also ask by description rather than by number – useful when nobody in the workshop knows the seven-digit item number by heart. If the same drawing is also in the design folder on the server, both sources can be connected, and the answer says which one it comes from. The demo shows this with sample documents from your industry; you’ll test it with your own documents in the first weeks after go-live.

We install new versions regularly. Do we have to fix anything afterwards?

Usually not: a new version changes the user interface, but what is mirrored is a directory. It gets tricky when a version jump moves the storage path or moves documents into the database: then nothing new arrives, and in the worst case the sync points to an empty directory. So let us know before a major upgrade. We’ll pause the sync, check together afterwards where the documents are, and set up the route again. The documents already in your instance stay searchable in the meantime.

Who in production can see what – and who can’t?

You decide that before the first run. Permissions are tied to document types and roles: routings and drawings for everyone in production, say, and costings and contribution margins for a smaller group. Customer drawings received under confidentiality can be kept as a separate document type and shown only to those working on the order. For agency staff or a summer intern, you can also set a cut-off date. Nothing is changed in Kieselstein itself; its permissions stay as you set them.
