Knowledge base for law firms when you’re looking for that clause you used years ago.

Case files, pleadings, contract templates and case law in one place, every answer with its source. Your own instance per firm on servers in Germany, the language model in an EU data centre, no training on your data. The demo uses sample documents; whether the answers hold up for your own files becomes clear in the first weeks after go-live.

Day to day

Sound familiar?

  • Which clause did we use for client X, and why that one in particular?

  • That similar case from 2021 – how did it end?

  • All the firm’s know-how is sitting in pleadings nobody looks at any more.

A call late in the afternoon: a property developer wants to instruct you in a warranty dispute against a window manufacturer from the area. Before you can accept, you need to establish whether the firm has ever acted for that company. Nobody is sure: in the files it appears once under the GmbH, once under the managing director’s name and once with a typo in the company name. The secretariat searches the practice management software, a colleague remembers a mandate from 2017, the file was destroyed long ago – but the pleading is still on the drive, in a folder under the old file number. By the time it’s cleared up the evening is gone, and accepting the instruction has to wait until the next morning. The upshot: the firm did act for that company once, in an entirely different matter – and nobody remembered.

Set-up fee €4,900 · excl. VAT

A flat fee per company, for firms with research needs. Everyone in your firm can use it – from reception to the partners – with no per-user licence. One-click connections are included in the set-up. Before we start, we check whether your industry-specific software can be connected; that connection is charged on a time-and-materials basis, agreed in advance.

At the kick-off we agree on twenty questions together – along with the documents each answer should come from. At sign-off we go through them together and look at what the system does with them. What follows from that is set out in the quotation.

Getting started

Where to start

Start with the contract templates and the clause collection. They aren’t tied to any client, and people in the firm search them every day anyway. Then take a defined set of files – one area of law or one year – where you know the answers: in the first weeks after go-live you’ll see whether the sources from your own pleadings are right and where something is missing. Before we start, we check whether Advokat (practice management software for Austrian law firms) and the mailboxes can be connected; access is read-only – nothing is written or changed in Advokat.

FAQ

Frequently asked questions

Does this replace the conflict-of-interest check?

No. The prohibition on acting for both sides in § 10(1) RAO (the Austrian Lawyers’ Act) is wide-ranging: it also covers related matters, and the mere possibility of a conflict of interest is enough. Assessing and deciding that is up to you. The system can help with the searching: you ask where a name appears in pleadings, correspondence and memos, not just in the case caption, and the answer shows the sources. In the first weeks after go-live, use a case whose background you know to check how well spelling variants – and the company name alongside the managing director’s – are picked up. If the system finds nothing, it tells you so – but on its own, that doesn’t prove there’s no conflict. The file note stays where you keep it today.

We keep client files for five years. What does that mean for the collection?

Under § 12(2) RAO, the obligations relating to client files end five years after the representation ended. What happens to the documents after that is your decision; the system doesn’t remove or delete anything on its own – it works with the collection you give it. A destroyed file stays destroyed. What does become findable is whatever has been left on the drive – a good reason to decide before set-up what should stay there and what doesn’t belong.

Does it take over deadline monitoring?

No – the deadline diary stays in the practice management software, which is where it belongs. You can ask about a deadline, and if it’s in the court order, the pleading or the authority’s letter, the answer gives the date and source; if the system finds nothing, it tells you so. It doesn’t remind anyone, enters nothing in Advokat and sends nothing via ERV, the Austrian electronic legal communication system: at most, an answer becomes a draft for you to check.

Can we exclude a single sensitive file from the search?

Not at the flick of a switch, file by file – permissions work by document type and role, not by individual file. For a particularly sensitive mandate, that means either a separate document type that only the people working on it can see, or keeping the file out of the collection altogether. We decide with you during set-up which makes more sense. During onboarding you can then test what a role without access gets back when it asks about this file.
