Connection

How the connection works

We check before we start, with you and your TAIFUN support partner, whether and how TAIFUN can be connected – depending on version, filing and licence scope. junova mirrors the directory where TAIFUN stores your documents as files to your own instance – encrypted, read-only and over outbound connections only. Customer, property and job master data can come along via an export, so that questions can be matched to customer, property and job number. Until the connection is set up, you upload documents: files, whole folders, emails, photos and voice notes.

Once set up, synchronisation runs automatically: new and changed documents from TAIFUN Handwerk are added without anyone having to upload anything.

Set-upWe estimate the effort after the feasibility check and discuss it with you before anything is set up – ideally together with your TAIFUN support partner. The set-up is charged on a time-and-materials basis, agreed in advance.

Start

Before a connection is set up

This connection is set up for you rather than switched on in one click. Every source has its own logins, permissions and folder structure – so before we start, we check with you whether and how it can be connected at your company. Set-up and maintenance are charged on a time-and-materials basis, agreed in advance; the amount depends on the source.

You can also upload files, whole folders, emails, photos and voice notes at any time. In the demo you see the answers using sample documents from your industry; you check them against your own documents in the first weeks after go-live.

Preliminary check

What we check in advance

Before we start, we look at what you have filed as documents and what exists only as a record on screen in TAIFUN – it is the document directory that is mirrored. A measurement filed as a sheet with the job can come across; for a post-job costing that exists only as an on-screen evaluation, we check whether it can be saved as a file. We discuss with you whether the Datanorm article master, open items or hours from time recording should come along; for that, the master data export would have to be extended. Maintenance scheduling stays in TAIFUN: the knowledge base shows what happened last time, with the supporting document.

FAQ

Frequently asked questions about this connection

Our jobs go back to 2008. Do the old years come across, or only the current year?

The first sync takes the document directory as it is – including the year folders nobody has opened in years. You decide from which year; older years can also be added later. Jobs from before you switched to TAIFUN usually sit on the old server or on a drive in the cupboard; they can come across via upload, including as whole folders. In the demo you see the answers with sample documents from your trade; you check them with your own old documents in the first weeks after go-live.

TAIFUN creates a separate folder per customer and job for us. Does this have to be restructured?

No. Your filing is read as it is; the system reads customer, job number and date from the document itself, and the folder path is only an additional hint. The master data export matches the job number to the right customer and property; the answer names the source so you can check it. A person confirms the document type on the first run, because that determines who gets to see the document later.

We install an update every year. Will that break anything?

Nothing is changed in TAIFUN itself; access is read-only – so an update does not affect the knowledge base. What matters is the path: if a new version moves the document directory or renames folders, the sync stops picking up new documents, and nobody would notice on their own. So drop us a quick line before the update, and we will look at the first run afterwards. Whatever has already been read in stays in your instance.

In TAIFUN, our technicians cannot see any costings. Will it stay that way?

The permissions from TAIFUN are not carried over but assigned afresh in your instance – via document types and roles, not via individual files. If preliminary costings and post-job costings are visible only to the foreman and the office, the technicians see measurement, maintenance report and manufacturer documentation for the same job, but not the costing. If someone asks for it anyway, the system says their role lacks the permission. A cut-off date can also be set: from a certain year for everyone, before that only for a small group.
