Inspection reports, service reports, site measurements and correspondence from pds go into your knowledge base. Ask from your phone on site or at your desk in the office.

Connection

How the connection works

We check before we start whether and how pds can be connected – that depends on the version, your contract and whether pds runs on-premises or hosted. junova mirrors the document directory on your server to your own instance, encrypted, read-only and over outbound connections only. Customer, property and project master data can be added through an export.

Once set up, synchronisation runs automatically: new and changed documents from pds are added without anyone having to upload anything.

Set-upOnce the feasibility check is done, we estimate the effort – with hosted pds it depends on the route the vendor offers – and agree it with you before anything is set up. The set-up is charged on a time-and-materials basis, agreed in advance.

Documents

Typical content: pds

  • The digital project file for each construction job: bill of quantities, site measurements, variations, and interim and final invoices
  • Daily site reports from the project app – who was on site, what got done, what was missing and what the weather was like
  • Service orders from maintenance management, filled in on a tablet at the customer’s premises and signed there
  • Time-and-materials reports and timesheets for the same site
  • Versioned drawing revisions from document management – which revision was used for construction and which one replaced it
  • Price enquiries, supplier quotes and the purchase orders that followed

Start

Before a connection is set up

This connection is set up for you rather than switched on in one click. Every source has its own logins, permissions and folder structure – so before we start, we check with you whether and how it can be connected at your company. Set-up and maintenance are charged on a time-and-materials basis, agreed in advance; the amount depends on the source.

You can also upload files, whole folders, emails, photos and voice notes at any time. In the demo you see the answers using sample documents from your industry; you check them against your own documents in the first weeks after go-live.

Preliminary check

What we check in advance

The copy in the knowledge base is there to answer questions, not to serve as the record: pds remains the authoritative system, including its revisions and audit trail. Before we start, we look at what you hold only as records – times, wage types, installation data – and which of it also appears in documents, because that is what the answers draw on. If your pds is hosted rather than on-premises, the route doesn’t go through a directory on your server; what is possible then depends on your contract and version, and we clarify that before we start.

FAQ

Frequently asked questions about this connection

Our pds is hosted, not on a server in our building. Does that rule out the integration?

Not necessarily, but the route is different: instead of mirroring a directory, pds needs to make the documents available somewhere. Whether and how that works depends on your contract and version – we clarify it with you and your support partner beforehand, not halfway through the set-up. Until then, you can upload project folders, emails, site photos and voice notes, including whole folder trees. That can be a sensible first step anyway if that is where your older construction projects from before pds are kept.

Our project files are organised by construction project, and service by property. Do I have to choose one?

No. Both go into the same knowledge base, and both structures stay as they are. From the customer and property master data in the export, the system knows that the 2019 construction project and last winter’s service call concern the same address. So a question about the property brings up the drawing from the construction phase and the report from the last call-out side by side – whoever goes out to the fault can see what was installed at the time. We check beforehand how well your master data supports this link.

Drawings in pds are versioned. Will the integration pick the right one?

All revisions come across, and the answer tells them apart by file, revision and date. Quietly picking one would be the wrong approach here; where two revisions contradict each other, the answer says so. You decide which one was used for construction, with both sources in front of you. If an old revision shouldn’t appear at all, that is handled through the document type, not by deleting anything: in pds it stays where it is.

Our pds also covers payroll. Will the technicians be able to see payroll documents?

That’s up to you. The simplest option is to leave the payroll area out altogether – anything that isn’t in the knowledge base can’t appear in an answer. If it should go in because accounts work with it, it gets its own document type that only that role can see. For the site team, you might release drawings, daily site reports and manufacturer documents; new documents are assigned through their document type, without anyone having to manage them file by file.
