AI knowledge base for freight forwarding and logistics when someone at the loading bay asks for the proof of delivery.
Consignment notes, proofs of delivery, transport orders, vehicle files and dangerous goods documents in one place, every answer with its source. Dispatch asks at the screen, drivers on their phones once they’ve pulled over. The demo uses sample logistics documents; in the first weeks after go-live you see how it works with your own.
Everyday question
“Who took delivery of the consignment on 14 March, and with what reservation?”
The answer is in
CMR consignment note · proof of delivery

Sound familiar?
Where’s the proof of delivery from the March run? Without it the customer won’t pay the invoice.
Hansi knows what load securing that customer wants and where the access road is at their plant. Nobody else does.
When does the artic’s inspection sticker run out, and when does the driver’s ADR certificate? That’s on three different lists.
Tuesday, half past seven in dispatch. A customer in Upper Austria reports that two pallets from Friday’s consignment arrived crushed. The driver is long gone, on his way to the Brenner, and says on the phone that he noted something on the consignment note when unloading – but he can’t remember on which copy. The copy that came back is in the pile next to the printer, along with two weeks’ worth of paperwork. The dispatcher leafs through and finds a note from the same run, but for the other customer. On the other line, a driver is waiting outside a factory gate: nothing gets loaded there unless his ADR training certificate has reached the site office in advance. And accounts would like the proof of preferential origin for an export from last year, because customs has been asking the customer about it.

Connecting your systems
Your system stays as it is. One-click systems connect via your account; for the others we check before we start whether and how a connection is possible – until then, you simply upload documents.
Pricing
What it costs
Basic package
Set-up fee €2,900 · excl. VAT
A flat fee per company. Everyone at your company can use it – technicians as much as office staff – with no per-user licence. One-click connections are included in the set-up. Before we start, we check whether your industry-specific software can be connected; that connection is charged on a time-and-materials basis, agreed in advance.
Drafts as Word, PDF or email are included in the Premium package.
At the kick-off we agree on twenty questions together – along with the documents each answer should come from. At sign-off we go through them together and look at what the system does with them. What follows from that is set out in the quotation.
Getting started
Where to start
Start with the consignment notes – specifically the copies that came back with handwritten remarks. In a dispute, those are what people ask for, not the clean copy of the order. Scans and phone photos from the drivers’ folders go up folder by folder, including the crooked ones with biro on them; how well they’re read is the first thing to check after go-live. Second, the transport orders together with the rate agreements, and the customs and shipping documents, which are already kept together per order anyway. Vehicle and driver files are the third step: § 57a KFG inspection reports, ADR training certificates, proof of code 95 on the driving licence. Microsoft 365 connects in one click, subject to admin consent. Before we start, we check whether your file server can be connected; that set-up is charged on a time-and-materials basis, agreed in advance.
FAQ
Frequently asked questions
The consignee only reports damage after a few days. Can the system help us work out whether the reservation was made in time?
You can ask for the documents that show it: the copy of the consignment note with the driver’s remark and the date of delivery, each with its source. The system doesn’t calculate anything. For context: under Article 30 CMR, a reservation about apparent damage must be made no later than on delivery; for damage that is not apparent, within seven days of delivery and in writing, excluding Sundays and public holidays; for delay in delivery, within twenty-one days from the time the goods were placed at the consignee’s disposal. What follows from that in a specific case is for you or your lawyer to judge.
Our proofs of delivery come in as phone photos from the drivers’ folders – crooked and scribbled on in biro.
They can go into the knowledge base just like a clean PDF – individually, by folder or as email attachments. The system suggests the consignment number, customer and date; someone on your side confirms the document type, because that determines who sees the document later. In the first weeks after go-live, try a stack from the drivers’ folders to see how well crooked, handwritten photos are read. If the system finds nothing for a question, it tells you so.
Does the system take over downloading the driver cards and the vehicle unit’s mass memory?
No. Downloading stays with you and your tachograph software. The maximum intervals are set by Regulation (EU) No 581/2010: the driver card at least every 28 days, the vehicle unit’s mass memory at least every 90 days. What comes out of that – analyses, certificates and correspondence – can go into the knowledge base: a driver’s ADR training certificate, the § 57a KFG inspection report for a vehicle, the analysis for a particular month. You ask about it, and the answer gives the source.
Can we use it to put together a claim to our carrier’s liability insurer?
It can produce a draft – as a Word file, PDF or email draft – with the documents the details come from: consignment note, transport order, photos of the cargo. The system sends nothing on its own. You read through the draft, correct it and send it yourself. If the system can’t find a document, it goes into the draft as an outstanding point – you’ll see what that looks like in the first weeks after go-live, using a closed damage case.
