Connection

How the connection is designed

The plan is to mirror the directory in which TAIFUN stores your documents as files to your own instance, encrypted — read-only and over outbound connections only. Customer, property and job master data can come along via an export, so that questions can be matched to customer, property and job number. Whether and how this works for you, we check with you and your TAIFUN support partner before we start — depending on version, filing and licence scope. Until the connection is set up, you upload documents: files, whole folders, emails, photos and voice memos.

Once set up, synchronisation runs automatically: new and changed documents from TAIFUN Handwerk are added by themselves, without anyone having to upload anything.

Quotes, order confirmations and time-and-materials invoices from job processing — including the preliminary costing the price was based on
Measurement sheets from TAIFUN measurement, i.e. the quantities per room, area or component, plus the tender and billing files that came from the client
Maintenance files per installation from the maintenance module: contract, interval, checklist and the report from the last maintenance visit
What the TAIFUN Handwerker app sends back from the job: report text, materials feedback, signature and the photos attached to the job

Start

Before a connection is set up

A connection is set up for you, not activated in one click. Every source comes with its own logins, permissions and folder logic — whether and how it can be connected at your company, we check together beforehand. Set-up and maintenance are billed by effort; how much that is depends on the source and is discussed beforehand.

Until then, and independently of it, you can upload files, whole folders, emails, photos and voice memos. Before we start, we go through real questions with you to see how the answers look.

Preliminary check

What we check in advance

Beforehand we look at what you have filed as documents and what exists only as a record in the TAIFUN screen — it is the document directory that is mirrored. A measurement filed as a sheet with the job can come across; for a post-calculation that exists only as an on-screen evaluation, we clarify whether it can be filed as a file. Whether the article master from Datanorm, open items or hours from time recording are to come along, we discuss together; for that, the master data export would have to be extended. Maintenance scheduling stays in TAIFUN: the knowledge base is intended to show what happened last time, with the supporting document.

FAQ

Frequently asked questions about this connection

Our jobs go back to 2008. Do the old years come across, or only the current year?

The plan is for the first sync to take the document directory as it is — including the year folders nobody has opened in years. You decide from which year; older years can also be added later. Jobs from before you switched to TAIFUN usually sit on the old server or on a drive in the cupboard; they can come across via upload, including as whole folders. In a demo, we show you how the answers look with your old documents.

TAIFUN creates a separate folder per customer and job for us. Does this have to be restructured?

No restructuring is planned for this. The filing is read as it has grown; the system is meant to read customer, job number and date from the document itself, and the folder path is only an additional hint. The master data export is meant to match the job number to the right customer and property; the answer names the source so you can check it. A person confirms the document type on the first run, because that determines who gets to see the sheet later.

We install an update every year. Will that break anything?

Nothing is changed in TAIFUN itself; the plan is read-only access — so an update does not affect the knowledge base. What matters is the path: if a new version moves the document directory or renames folders, the sync does not pick up the new state, and nobody notices that on their own. So let us know briefly before the update, and we will look at the first run afterwards. Whatever has already been read in stays in your instance.

In TAIFUN, our fitters cannot see any costings. Will it stay that way?

The permissions from TAIFUN are not carried over but assigned afresh in your instance — via document types and roles, not via individual files. If preliminary and post-calculations are released only to the foreman and the office, the plan is that the fitters see measurement, maintenance report and manufacturer documentation for the same job, but not the costing. If someone asks for it anyway, the system says their role lacks the permission. A cut-off date can also be set: from a certain year for everyone, before that only for a small circle.
