Documents from CarLothe proof of delivery for the tour, with source.
Freight documents, proofs of delivery, damage reports, rate agreements and correspondence from CarLo are meant to come into the knowledge base, and the answers name the source. The plan is read-only access; nothing in CarLo is changed.

“Where is the proof of delivery for order 2025-4471?”

How the connection is designed
Where CarLo stores documents as files on a server on your premises, the plan is to mirror that directory, encrypted, into your own instance — read-only and over outgoing connections only. If the documents sit in an archive inside CarLo, an agreed export would be the route; it can also bring in order, tour and customer master data, so questions can be matched by order number, licence plate and route. Whether and how that works for you, we check with you before we start — depending on version, storage and licence scope. Until then, you upload documents: files, entire folders, emails, photos and voice memos.
Once set up, synchronisation runs automatically: new and changed documents from Soloplan CarLo are added by themselves, without anyone having to upload anything.
Set-upHow much effort the document directory and the master data export involve, we estimate after the preliminary check and discuss with you before anything is set up — ideally together with your CarLo support partner. Billing is based on actual effort.
Documents
Which documents may be stored in Soloplan CarLo
- Transport orders with the consignment data — loading and unloading point, time window, packages, weight and loading metres — together with the status messages from dispatch
- Proofs of delivery and CMR consignment notes as scans or as photos from the app on the driver’s phone, including the reservations noted at handover
- Freight invoices to clients and credit notes to subcontracted carriers, plus the rate and terms agreements per client and route, including toll and diesel surcharge clauses
- Transport documents and instructions in writing under ADR (the European agreement on dangerous goods by road) for dangerous goods consignments, plus the drivers’ training certificates and the appointment of the dangerous goods safety adviser
- Vehicle and driver records from the fleet — inspection reports under § 57a KFG (the Austrian periodic roadworthiness test), service records, driver card evaluations, plus the Community licence and certified copies
- Customs and shipping documents for cross-border consignments, and the damage file with photos of the goods, the correspondence on the liability case and the notification to the cargo insurer

Start
Before a connection is set up
A connection is set up for you, not activated in one click. Every source comes with its own logins, permissions and folder logic — whether and how it can be connected at your company, we check together beforehand. Set-up and maintenance are billed by effort; how much that is depends on the source and is discussed beforehand.
Until then, and independently of it, you can upload files, whole folders, emails, photos and voice memos. Before we start, we go through real questions with you to see how the answers look.
Preliminary check
What we check in advance
In advance, we look at where your documents are — as files in the directory or in the archive inside CarLo — and which dispatch data, such as order header, line items and status times, should come along via the export; they then show the state of the last sync, not a live query. Live positions and driving times are in the telematics, not in this data set. Nothing is recalculated here: what a freight charge should come to or how far liability under the CMR extends remains your assessment — the answer shows what was agreed and what was signed. And documents that exist only on paper come in only once someone scans or uploads them.
FAQ
Frequently asked questions about this connection
We have to keep proofs of delivery for seven years. Does the archive come along?
The plan is that the older years in the directory come along in the first sync too — precisely the ones nobody touches unless there is an audit on site. In practice, you start with the more recent years and add the older ones afterwards. Whatever is still on paper on the shelf comes in via upload: scan it and upload entire folders at once, no pre-sorting needed. How legible the scans are will show in your own documents.
Our scans are named after the order number. Is that enough to find them again?
It helps, but it is not necessary. The search works on the content, not the file name — even a document filed as Scan_0047.pdf should turn up for a question about recipient, route or delivery day. If the order number is in the file name or folder path, the system can additionally match the document to the right order. With three consignments to the same address on the same day, that makes the difference; how well it works with your scans, we go through with you on real questions before we start.
A client reports transport damage from a case two years ago. How does this help us?
That is the idea: whatever was filed on it back then should come together in one place — the proof of delivery with the driver’s reservation, the photos of the goods, the correspondence with the client and the notification to the insurer. The answer names the source, so you can open the document yourself and check it. If the system finds nothing, it says so. From the result you can create a draft — Word, PDF or an email draft in your own mailbox; nothing is sent automatically.
What happens at the next CarLo update?
Nothing in CarLo itself is changed, and mirroring a folder relates to the path, not the version. The export may be affected: if the structure of the export file changes — different columns for status times or loading metres, a new delimiter — it needs to be adjusted. Tell us the date beforehand, and we will check the first sync afterwards with you.
Should the driver really see everything on the phone?
You decide. Permissions depend on document type and role: notes on the loading point, a client’s load securing requirements and the documents for the driver’s own tour can be released to drivers, while rate agreements, freight invoices and credit notes to subcontracted carriers stay with dispatch and accounting. For subcontractors who only drive for you temporarily, a role can additionally be limited in time. If permission is missing, the system says it is missing instead of pretending there is nothing on the topic.
