Search your file serverask the folder that has grown over the years, answers with the source.

The folder where everything has been kept for years: projects, drawings, quotes, scans. The plan is to connect it rather than upload it — the folder structure helps decide who may see what.

Connection

How the connection is designed

The plan is a sync that mirrors the shared directories, encrypted, into your own instance — only new and changed files, read-only and over outgoing connections only. Whatever you delete on the server is also removed there; the folder structure comes along. Whether and how that works for you, we check with you before we start — depending on server, shares and network.

Once set up, synchronisation runs automatically: new and changed documents from File server are added by themselves, without anyone having to upload anything.

Set-upHow much setup is needed is shown by the advance check. We then estimate the effort and discuss it with you before anything is set up. It is charged by effort.

Documents

Which documents may be stored in File server

  • The customer folders on the drive that has been called K: or P: in your company for years
  • Year folders with quotes, order confirmations and invoices as PDFs
  • Scans from the multifunction printer sitting in the inbox folder as Scan_0001.pdf, never renamed
  • Version chains in the file name — Quote_final, Quote_final_2, Quote_final_new
  • The “Old” or “Archive” folder into which everything was moved two server changes ago
  • Drawings, plans and photos that were never entered into any program but only live here

Start

Before a connection is set up

A connection is set up for you, not activated in one click. Every source comes with its own logins, permissions and folder logic — whether and how it can be connected at your company, we check together beforehand. Set-up and maintenance are billed by effort; how much that is depends on the source and is discussed beforehand.

Until then, and independently of it, you can upload files, whole folders, emails, photos and voice memos. Before we start, we go through real questions with you to see how the answers look.

Preliminary check

What we check in advance

In advance, we look at how your folder structure is built: the path comes along as an ordering and can help assign document types. The permissions on the server itself are not replicated — who sees what, you define anew via document types and roles. Scans go through text recognition (OCR); how well that works with faded copies, old faxes or handwritten notes becomes clear with your actual documents. Password-protected files, archives and formats that only a single program can open, we check in advance. And folders that someone only keeps locally on their own computer come along as soon as they are moved to the server first.

FAQ

Frequently asked questions about this connection

There are fifteen years on the drive. Does it have to be tidied up first?

Tidying up as a precondition is not part of the plan — it often postpones the start indefinitely. What is mirrored is what you release, including the old years. The answers name file and folder, so you can recognise outdated material by where it comes from: a price list from 2014 gives itself away through its path. If the system finds nothing for a question, it says so. Whatever should deliberately stay out — private material, old job applications, the photo folder from the staff outing — you name in advance, and it will not be read.

Our folder structure has grown over the years and is not logical everywhere. Is that a problem?

It does not have to be logical, it just has to stay the way it is. The path is read along and helps with assignment: a document filed under customer, year and order can be classified that way, even if the file name says nothing — and with Scan_0001.pdf, the path is often the only clue. Where the structure says nothing either, the content of the document counts. You will see in a demo how well that works with your documents. Nothing is moved, renamed or deleted on your side.

We are replacing the server next year. Will everything start from scratch?

The plan is that the documents stay in your instance and the sync is pointed at the new directory during the move; the switch does need to be coordinated, though. The order matters: the sync replicates deletions — if it points to an empty or only half-filled directory while the data is still being moved, it would clear out the knowledge base accordingly. That is why we pause it for the move and only restart it once everything is in place on the new server. If drive letters or share names change, the sync is adjusted; it does not have to run on the new server, but needs read access to the share.

On the drive, staff see different amounts. Will that stay the same?

On the server, everything stays as it is; nothing is changed there. In the knowledge base, permissions are defined anew: by document type and role, not file by file. The folder structure helps here, because the path shows what something is about — what sits under HR is rarely correspondence on a construction project. A one-to-one replica of your server permissions would drift apart at the first change on the server without anyone noticing. That is why the HR folder is often left out entirely, and whoever has only recently joined gets a cut-off date.
