Search dictationsnotes from the dictation device, even before they are typed up.
The plan is to transcribe dictations from the office and voice recordings from field work in your instance so that answers can name their source. The recording is kept as evidence; nothing is changed in your dictation software.

“What did I record in the dictation of 14 March on the Huber file?”

How the connection is designed
Dictation software usually stores recordings as files — depending on the device as DSS, WAV or MP3, in the dictation folder on the server or on the workstation. The plan is to mirror this folder, encrypted and only via outgoing connections, into your instance; transcription happens there, in the EU, and the recording remains the evidence for the answer. Whether and how this works for you, we check with you before we start — for example whether recordings are stored encrypted or whether dictation management runs as a service of the manufacturer; in that case we clarify whether an interface exists, is enabled and reachable, otherwise a scheduled export is the route. Philips Pocket Memo and SpeechMike, the Digta devices from Grundig Business Systems or the DS recorders from Olympus or OM System are only examples: what is connected are the files they produce. You can upload voice memos from your phone even before that.
Once set up, synchronisation runs automatically: new and changed documents from Dictation and voice recordings are added by themselves, without anyone having to upload anything.
Set-upWe estimate the effort after the preliminary check and discuss it with you before anything is set up — gladly together with the support partner for your dictation software. It is billed by effort; you can upload voice recordings from your phone even before that.
Documents
Which documents may be stored in Dictation and voice recordings
- File notes and notes of conversations, spoken into the device right after the client meeting.
- Dictated pleadings and contracts still waiting to be typed up by the secretariat.
- The report from a site visit or inspection, dictated on the way in the car.
- Short instructions to the secretariat: enter a deadline, open a file, record that something is done.
- The job data the dictation device records along with the audio — author ID, work type, priority, date.
- Voice memos from the work phone that never made it into dictation management.

Start
Before a connection is set up
A connection is set up for you, not activated in one click. Every source comes with its own logins, permissions and folder logic — whether and how it can be connected at your company, we check together beforehand. Set-up and maintenance are billed by effort; how much that is depends on the source and is discussed beforehand.
Until then, and independently of it, you can upload files, whole folders, emails, photos and voice memos. Before we start, we go through real questions with you to see how the answers look.
Preliminary check
What we check in advance
Beforehand, we look at the form your recordings are in and how they sound. The transcription reflects what was spoken, not the finished document: paragraphs, emphasis and the form of a pleading only come about when it is typed up, and spoken formatting instructions appear in the text. How well proper names, file numbers and statutory citations, recordings from a moving car or passages in dialect are recognised becomes clear from your recordings; a misheard number can make later searching harder. Where two people talk over each other, attributing who said what is a separate point to check. If a dictation mentions neither a file number nor a client name — “re the file you know, as discussed” — the folder path remains the main clue. And the processing status from dictation management — done, in progress, urgent — is not part of the plan: the recordings are read, not the management layer on top of them.
FAQ
Frequently asked questions about this connection
We have ten years of dictations on the server. Should they all be transcribed?
That is up to you. A more useful question is which recordings never became a written document — the note after a phone call, the report from a site visit: they contain what cannot be read anywhere else. Where the dictation was typed up, signed and filed long ago, the finished document is usually enough. The effort depends on the hours of recording that are actually to be transcribed; how many that is, we look at together beforehand.
Our dictations are in subfolders per author, and the typists file them differently again. Does that have to be tidied up first?
Nothing needs to be tidied up or renamed for this. If the author ID is in the path or the file name, it is used as a hint. The link to the file is meant to come from what you say, checked against your master data — if you name the file number and client name in the first few sentences, that helps the assignment considerably. If a recording exists twice, with the author and with the typist, both paths go along, and the answer names which one the passage comes from.
We will soon be switching to new dictation devices and a newer version of the software.
The plan is to connect to the recording files, not to the program. A new device often brings a different recording format and sometimes a new default path; let us know briefly before the switch and the sync will be adjusted accordingly. We check two points together: whether the new version still stores recordings as files or keeps them in its own management, and whether it writes them encrypted. The files already transcribed sit in your instance and do not depend on any program version.
A dictation about a personnel matter must not be heard by everyone in the company.
That is what document types and roles are for: visibility does not depend on the individual file but on the classification — a dictation classified as a personnel matter is meant to stay reserved for the authorised group, transcription and recording together. For recordings from before a member of staff joined, a cut-off date can also be set. Anyone not authorised receives a note that the permission is missing instead of an answer pretending there is nothing on the subject. Which classifications you need, we decide together before we start.
