Search Scan-to-Folderquery delivery notes and reports from the scan folder.

Delivery notes, inspection reports, signed orders and the daily post: what goes from the multifunction device into the scan folder is meant to come into your AI knowledge base — including sheets scanned only as images without a text layer.

Connection

How the connection is designed

The plan is for your device to keep saving where it saves today, and for a sync to mirror the scan folder, encrypted, into your own instance — read-only and only via outgoing connections. There, the scans go through text recognition (OCR); the suggested document type is confirmed by a person during the first pass, because it determines who is allowed to see the document. Whether and how this works for you, we check with you before we start — depending on device, storage location and settings. Until the connection is set up, you can upload individual scans, entire folders and photos.

Once set up, synchronisation runs automatically: new and changed documents from Scan-to-Folder are added by themselves, without anyone having to upload anything.

Set-upWe estimate the effort once we know where and how your device saves, and discuss it with you before anything is set up. It is billed by effort. The plan is that nothing needs to be changed on the multifunction device itself.

Documents

Which documents may be stored in Scan-to-Folder

  • Signed delivery notes and installation reports that the technician brings back in the evening — often fed through the document feeder as a stack, many sheets in one file.
  • Daywork sheets and time records bearing the site manager's signature — the signature is usually the reason the sheet goes through the device.
  • The daily post: incoming invoices, credit notes, reminders, letters from authorities and chambers.
  • Inspection reports, measurement records and handover reports that only ever existed on paper.
  • Manufacturer inserts from the box: declaration of performance, data sheet, installation and maintenance instructions.
  • Handwritten material — the sketch on the site note, the measurement note, the remark on the back of the order.

Start

Before a connection is set up

A connection is set up for you, not activated in one click. Every source comes with its own logins, permissions and folder logic — whether and how it can be connected at your company, we check together beforehand. Set-up and maintenance are billed by effort; how much that is depends on the source and is discussed beforehand.

Until then, and independently of it, you can upload files, whole folders, emails, photos and voice memos. Before we start, we go through real questions with you to see how the answers look.

Preliminary check

What we check in advance

Beforehand, we look at how your device saves and whether it can assign file names, subfolders or separator sheets itself — that depends on model, firmware and enabled features. Scans go through text recognition (OCR); how well that works with faded copies or handwriting such as the margin note on a daywork sheet becomes clear from your files. A stack that went through the feeder in one go is initially one file; whether it can be split into individual delivery notes depends on a feature to split by — separator sheet, barcode, recurring header — and that is setup effort. The file names from the device usually say little about the content; searching is based on what is on the sheet, and if the order number is missing there, someone has to add it. We also clarify whether a new device might reset the sequential number, so that one scan does not overwrite another.

FAQ

Frequently asked questions about this connection

We have been scanning into the same folder since 2016 — does the whole pile have to come along?

You decide, and the pile does not have to come along all at once. A common start is with the years in which warranty still runs and records are asked for; older years can be added later. Nothing has to be rescanned for this — the PDFs from back then are already in the folder and are only read. You can also put a single old folder in by upload beforehand; that needs no setup.

Our device saves by month, for some colleagues by employee. Does that work?

The plan is that both work: nothing in your folder structure is moved or renamed, and the folder of a scan goes along as its origin so that the answer says which scan it comes from. The month folder is only a hint — a sheet dated 27 June that was scanned on 2 July is meant to be filed by the date on the sheet. How this looks with a catch-all “Miscellaneous” folder where unassigned items end up, you can see in a demo with your own scans.

What if we replace the multifunction device or the scan folder moves to a new server?

The connection is intended to be tied to the folder, not the device. When the device is replaced, your dealer enters the scan destination in the new device, as today; whether scanning is then done in colour, double-sided or at a different resolution usually makes no difference to the sync. If the folder moves or the share is renamed, just let us know — the sync is then switched to the new path, and the files already captured stay as they are. If the device is out of action for a few days, there is a gap in the folder until scanning resumes.

Everyone in the company has access to the scan folder. Will everyone then see everything in the AI knowledge base too?

That is not planned. The wide-open Windows share is not carried over one to one — it is usually only that open so that the device can save to it. In your instance, permissions are tied to document types and roles: the technicians, for example, to delivery notes, plans and installation reports, payroll to scanned personnel documents; for someone who joined this year, a cut-off date can be set. If permission for a scanned employment contract is missing, the system says so instead of supplying something else in its place. Which roles you need, we decide together before we start.
