How the introduction works

Five steps from the first call to acceptance. At the kickoff we record twenty questions, and in week six acceptance takes place against them. Your effort is a few appointments agreed in advance.

We look at which documents exist and where they are stored.

Keep scrolling, the steps move to the left

  1. 01

First call (30 minutes, free of charge)

By video. We clarify which documents exist, where they are stored and who should be able to find what. You get an honest assessment of whether the knowledge base suits your company and which package is an option – and afterwards an offer with a monthly flat fee and a one-off setup.

  2. 02

    Kickoff

We take stock of your documents: which document types exist, which customers and suppliers, which classification criteria such as project number or location. That becomes your filing structure. We also define who may see what, which sources should go in and who the contact person at your company is. And together we record twenty questions against which acceptance takes place in week six.

  3. 03

    Setup

We check whether and how the agreed sources can be connected, and set them up. Then we import your existing documents, including scanned ones, and go through them together with you. Your folders, mailboxes and programs stay where and as they are.

  4. 04

    Team introduction

Using your own documents, we show your team how to ask, how to check the source and how new documents are added. The introduction deliberately comes after the import: the first questions go to your real collection. A short guide stays with you.

  5. 05

    Support and acceptance

In the first six weeks, we look at what is being asked and what is missing from the collection, and fine-tune. In week four there is a meeting with management, and in week six acceptance against the twenty questions from the kickoff. What applies if they do not pass is set out in the offer.

  6. ✓

    Afterwards, in day-to-day operation

Updates, backups and a fixed contact person. New documents are added in everyday work, and the collection grows with it.

What we need from you

A contact person at your company for queries and the agreed appointments
Access to the file stores that should go in (folders, mailbox if applicable) – for managed systems, together with your IT service provider
Real questions from your everyday work for the twenty acceptance questions – the more specific, the better
Optional: paper records that should be scanned

How long does it take?

Six weeks of support are planned from the kickoff to acceptance. How long the setup takes before that depends on the size of your collection and on the sources. You receive the specific schedule with the offer.

And after acceptance?

We take care of maintenance

Security updates, updates and backups of your instance are our responsibility.

The collection grows with everyday work

New documents, dictated notes and feedback are added continuously. The contact person at your company keeps an overview; if we notice something is missing, we get in touch.

Support from a single source

For questions or requests, you contact the same people who set up your knowledge base.

Frequently asked questions about the introduction

How long does the introduction take overall?

Six weeks of support are planned from the kickoff to acceptance. How long the setup takes before that depends on the size of your collection and on the sources to be connected. You receive the specific schedule with the offer.

What do we have to change in day-to-day business?

Your folders, your mailbox and your programs stay as they are; the knowledge base runs on our servers. Your part is a few appointments agreed in advance: kickoff, introduction, the meeting in week four and acceptance.

Do our employees need IT skills?

Using it is similar to a search engine: type or dictate a question, read the answer, open the source via the numbered reference. What that looks like with your documents, we show in the introduction.

What happens if the answers do not fit at first?

That is what the six weeks of support are for: we look at what is being asked and what is missing, and fine-tune. The benchmark is the twenty questions from the kickoff, against which acceptance takes place in week six.

We have a large paper archive – will that delay the start?

The paper archive does not have to be fully digitised before you start. It is usual to start with the digital collection; scanned folders are added bit by bit, the most important ones first.
