The electronic file from RA-MICROquery your case files, with sources.
Pleadings, draft contracts, correspondence and file notes from the electronic file are meant to become searchable in the AI knowledge base; every answer names its source. Your own instance on servers in Germany, the language model in an EU data centre, visibility by document type and role.

How the connection is designed
Whether the documents in the electronic file are stored as files in the data directory or in the system's database depends on your installation. If they are files, the plan is to mirror the directory, encrypted, into your own instance; otherwise via an agreed, scheduled export. The case and client master data are meant to come along via an export so that answers are matched to the right file number. Whether and how this works for you — including with a hosted setup, where the provider would have to grant read access — we check with you before we start, depending on version, licence and hosting; nothing is changed in RA-MICRO.
Once set up, synchronisation runs automatically: new and changed documents from RA-MICRO are added by themselves, without anyone having to upload anything.
Set-upWhether a sync of the document directory is enough or an export of the case master data is needed as well, the preliminary check will show. We then estimate the effort and discuss it with you before anything is set up — gladly together with your RA-MICRO support partner. It is billed by effort.
Documents
Which documents may be stored in RA-MICRO
- Pleadings in the file: statements of claim, defences, applications and appeals, with the list of exhibits and the exhibits themselves.
- Court documents as they are added to the file: payment orders, rulings, judgments, summonses, hearing transcripts and enforcement orders.
- Correspondence and notes: letters to clients and to opposing counsel with attachments, phone notes, meeting notes and file notes.
- Documents in the file: power of attorney, contracts and draft contracts, extracts from the company register (Firmenbuch) and land register, deeds from the deeds collection.
- What is attached to the file account: fee notes, cost statements, time records and disbursements such as court fees and flat-rate fees.
- The firm's collection of templates and standard clauses, built up over the years: contract templates, standard pleadings and the wording that has proven itself in your own practice.

Start
Before a connection is set up
A connection is set up for you, not activated in one click. Every source comes with its own logins, permissions and folder logic — whether and how it can be connected at your company, we check together beforehand. Set-up and maintenance are billed by effort; how much that is depends on the source and is discussed beforehand.
Until then, and independently of it, you can upload files, whole folders, emails, photos and voice memos. Before we start, we go through real questions with you to see how the answers look.
Preliminary check
What we check in advance
The deadline calendar stays where it is: a deadline stated in a document is meant to be named with its source — it continues to be entered, calculated and monitored in your law firm software. Beforehand, we look at whether what is attached to the file sheet rather than to the document — notes, follow-ups, roles of the parties — can be output as well; that depends on the installation and the chosen route. An item in the electronic inbox comes along once it has been added to the file. Nothing is written back: drafts are produced — signing, filing and sending are done by you.
FAQ
Frequently asked questions about this connection
What about old files from before we kept electronic files?
Scanned old files can come along as long as they exist as files; scans without a text layer go through text recognition (OCR), and how well that works with faded copies becomes clear from your files. You decide the scope — by year, by area of law, or only current files to begin with. Archived years in particular often contain the clause from back then that could help in a similar case. The prerequisite is that the files exist digitally; paper that was never scanned would have to be scanned first.
In the electronic file, every document has a sequential number. How does an answer get to the right file number?
The plan is for the case and client master data to come along via the export, so that file number, client, opponent and date are preserved as field values; anything missing there the system reads from the document. The answer names the file, the document and the date so that you can open the same place in the electronic file. If two versions of a draft exist side by side, both are named. Which document type an item is given is confirmed by a person in the firm during the first pass, because the permissions depend on it.
What happens with a software update or a switch to a hosted version?
The connection changes nothing in the program itself. If an update moves the data directory or a switch changes the access route, no new documents come in until it is adjusted; the existing files remain in place. When moving to a hosted environment, it needs to be clarified whether the provider grants read access to the documents — that is the provider's decision, and it is best settled before the move. We coordinate the adjustment with you and your support partner and bill it by effort.
Not every member of staff is allowed to see every file — how do we keep ring-fenced matters ring-fenced?
The plan is visibility by document type and role, optionally from a cut-off date. Files that should stay ring-fenced, for example because of a potential conflict of interest, need not go into the knowledge base at all, or can be restricted to the role handling the matter. If someone lacks the permission, the system says so instead of showing content. The instance belongs to your firm alone and sits on servers in Germany, the language model runs in an EU data centre, and no model is trained on your files.
