Documents from AUER Success and ABKbills of quantities and invoicing.

Bills of quantities, quotes, supplementary offers (change orders), measurement sheets, invoices and correspondence on the construction project are meant to come into your knowledge base — from the project folder, as PDF and as a bill-of-quantities file. Read-only access is planned; nothing is changed in AUER Success or ABK.

Connection

How the connection is designed

AUER Success comes from NEVARIS Bausoftware near Salzburg, ABK from ib-data in Vienna — two separate products, which is why each is looked at on its own. The plan is to mirror the project directory on your server, encrypted, into your own instance — read-only and only via outgoing connections. Items, quantities and customer and project master data from the program database can come along via a scheduled export. Whether and how this works for you, we check with you before we start — depending on version, licence, local or hosted variant and the manufacturer's permissions.

Once set up, synchronisation runs automatically: new and changed documents from AUER Success & ABK are added by themselves, without anyone having to upload anything.

Set-upWe estimate the effort after the preliminary check and discuss it with you before anything is set up — gladly together with your support partner. If items and master data from the database are to come along, the export is part of that estimate. It is billed by effort.

Documents

Which documents may be stored in AUER Success & ABK

  • The bill of quantities with its data file under ÖNORM A 2063 (the Austrian standard for tender data exchange) — as it comes in from the planner and as the quote goes back; for projects from before then, the project folder may still contain data files under the predecessor standards B 2062 and B 2063
  • The K-sheets under ÖNORM B 2061 (price calculation sheets) with which you justify a unit price years later if someone questions whether it is reasonable
  • Price comparison tables and tender documents from bid evaluation — when you award work to subcontractors yourself or check invoicing on behalf of a client
  • Measurement sheets with the formula chains behind them — in Success the sheet is called Aufmaßblatt — plus the summary lists and the quantity comparison against the bill of quantities
  • Interim and final invoices, daywork reports and price adjustment under ÖNORM B 2111 where variable prices were agreed
  • With ABK, also the health and safety plan (SiGe-Plan) with the documentation for later work under ÖNORM B 2107 and the schedule, if you take on site coordination under the BauKG (Austrian Construction Site Coordination Act) yourself

Start

Before a connection is set up

A connection is set up for you, not activated in one click. Every source comes with its own logins, permissions and folder logic — whether and how it can be connected at your company, we check together beforehand. Set-up and maintenance are billed by effort; how much that is depends on the source and is discussed beforehand.

Until then, and independently of it, you can upload files, whole folders, emails, photos and voice memos. Before we start, we go through real questions with you to see how the answers look.

Preliminary check

What we check in advance

Beforehand, we look at what you have as a file — PDF, printout, bill-of-quantities file, data file — and what exists only in the program. A measurement chain kept only in the program can be cited once it is on a sheet; nothing is recalculated in any case: quantities, prices and discounts remain what the program output, and invoicing stays there. We also clarify which years your data files come from: those from before ÖNORM A 2063 are structured differently from today's. How answers across many years look with them, we show you in a demo.

FAQ

Frequently asked questions about this connection

We have twelve years of construction projects in Success or ABK. Will the old projects come along?

The plan is for the first pass to read in what is stored as a file in the project directory — including projects that were finally invoiced long ago. Those are exactly the ones that count for a warranty question: which version of the bill of quantities applied and which measurement the third interim invoice was based on. What exists only in the program's data storage can come along via the export; how far back you go, we agree together beforehand. Your project files stay as they are.

Our project folders are named after the construction project, the program counts by project number. How does that fit together?

Both stay as they are. The folder structure is read as an ordering — project, year, building section — and project number, client and date are meant to be read by the system from the document itself, not from the file name. Where a project changed its name along the way, for example from “Sonnenhof” to “BV Sonnenhof, Bauteil II”, the project master data can help bring things together. Which document type a sheet is assigned to is confirmed by a person during the first pass, because it determines who gets to see it. How this looks with your folders, we show you in a demo.

What happens at the next version change of the program?

We do not change anything in the program. Whether a version upgrade affects the connection depends on whether the projects stay in the same place and the export produces the same format. A closer look is needed for a migration that takes the file storage with it — for example when projects are moved into a new data storage and the older years stay behind in the old directory. Let us know in advance and we will look at which path applies afterwards; the old directory can remain as a separate source. If the export stops, the plan is for the system to report the gap instead of presenting an old state as current.

The site foreman should see the bill of quantities, but not our cost calculation. Is that possible?

The plan is to do this by document type and role, not file by file: bill of quantities, measurement sheet and site meeting minutes for site management; K-sheets, price comparison tables and post-calculation for management. A cut-off date can be added as well, for example if a foreman should see current projects and not those already invoiced. If someone lacks the permission, the system says so — instead of pretending there is nothing on the question. Which roles make sense for you, we decide together before we start.
