Documents from Streitservice reports and system data, with the source.

The plan is that service reports, maintenance contracts, system data and correspondence from Streit come into your knowledge base — without double maintenance and without changes to Streit.

Connection

How the connection is designed

The plan is to mirror the directory in which Streit stores your documents, encrypted, into your own instance — read-only and over outgoing connections only. Master data on customers, properties and installations can be added via the export, so that questions can be assigned to property and installation. Whether the documents exist as files in your setup or an export is needed, we check with you before we start — depending on version and licence scope.

Once set up, synchronisation runs automatically: new and changed documents from Streit are added by themselves, without anyone having to upload anything.

Set-upWhat the setup needs, we estimate after the advance check and discuss with you before anything is set up — together with your Streit support partner, if you like. It is charged by effort.

Documents

Which documents may be stored in Streit

  • What the digital archive files by itself: documents, emails and transactions, already sorted under the customer, supplier or project
  • Quotes and costings from your service and item catalogues, with the Datanorm prices (the standard price-data format from wholesalers) that were behind them
  • Fitter reports from the app: what was replaced, what was adjusted and what was written up as time and materials, with the customer’s signature below
  • Purchase orders, order confirmations and delivery notes that come in via the wholesaler interfaces
  • Test and commissioning reports: leak and pressure tests, flushing report, balancing, handover to the customer
  • Manufacturer documents and error code lists for the installed appliances, insofar as you file them with the job

Start

Before a connection is set up

A connection is set up for you, not activated in one click. Every source comes with its own logins, permissions and folder logic — whether and how it can be connected at your company, we check together beforehand. Set-up and maintenance are billed by effort; how much that is depends on the source and is discussed beforehand.

Until then, and independently of it, you can upload files, whole folders, emails, photos and voice memos. Before we start, we go through real questions with you to see how the answers look.

Preliminary check

What we check in advance

In Streit, the digital archive is closely interlinked with the program. In advance, we therefore look at whether the documents sit as files in a directory that can be mirrored in your setup, or whether an export is needed — that depends on version and licence scope. Installation master data, maintenance intervals and appliance history are records, not documents; what should come along in the export, we decide together. The knowledge base then holds the state of the last sync, not a live query — an entry made a moment ago appears in Streit first.

FAQ

Frequently asked questions about this connection

We have twelve years of service reports in the archive. Is that too much?

What matters is less the volume than the uniformity: twelve years of reports on the same boiler look very similar to each other. That is why the date counts — it is meant to be read from the report itself when reading in, and the answer states which call-out it comes from. Scanned reports go through text recognition (OCR); how well that works with faded copies or handwriting becomes clear with your actual documents. If two reports contradict each other because something different was measured on the second visit, the plan is that the answer names both instead of silently picking one.

Our archive files everything automatically under the customer. Do we need a folder logic of our own at all?

The plan is to take over your existing assignment instead of putting a second order alongside it. Because documents in Streit are attached to customer, supplier or project, this assignment is meant to come along when reading in — how far that goes with your version, we look at in advance. What remains to be set is the document type — service report, quote, delivery note, test report — because visibility depends on it. A person from your company confirms it during the first run.

Our prices come from the wholesaler via Datanorm and change all the time. Is an answer from an old quote wrong, then?

It reflects the state on the day the quote was written — that is why the answer gives the date and source with it. It is not a price check for today; that is what the catalogue in Streit is for. In everyday work, the question is often a different one anyway: which appliance did we install there, with which accessories, and what did we charge for it back then. How much of that still holds for the new quote, you decide.

The fitter should see the system documentation, but not what we earn on the job. Is that possible?

The plan is to do this via the document type, not via individual files. Manufacturer documents, service reports and test reports can be released for the fitters; costing, purchase prices and post-calculation are tied to a role that stays in the office. If permission is missing, the system says so instead of dodging the question. When a new fitter joins, they get the role — nothing changes in the files.
