Search Microsoft 365SharePoint, Teams and mailboxes, connected rather than copied.
The project files that have grown over the years in SharePoint, files from Teams channels and client correspondence in your mailbox are meant to be connected rather than uploaded — with the permissions you grant.

How the connection is designed
The plan is to sign in through Microsoft itself: in the document view you choose the source, sign in and grant access to the folders, libraries or mailboxes that should be read — read-only, and only what you select. Whether your organisation allows this access and whether an administrator has to consent, we check with you before we start — depending on the licence and the settings of your Microsoft account.
Once set up, synchronisation runs automatically: new and changed documents from Microsoft 365 are added by themselves, without anyone having to upload anything.
Set-upThe connection is made with a click via your Microsoft account and is included in the setup. Beforehand, we check the prerequisites with you — ideally together with your Microsoft administrator.
Documents
Which documents may be stored in Microsoft 365
- The project files that have grown over the years in SharePoint, library by library
- Files from Teams channels that were shared in a meeting and never properly filed afterwards
- Drafts and interim versions from individual employees' OneDrive that never made it into the team files
- Emails with attachments from the shared mailboxes, including a functional mailbox such as office@ or accounts@
- Versions of quotes and contracts lying side by side in several states — in the team files, in OneDrive and as a mailbox attachment
- Scans and photos backed up from a phone to OneDrive and left there ever since

Start
Before a connection is set up
The connection is made in one click via the account and is included in the setup. Every source comes with its own logins, permissions and folder logic — we check the prerequisites at your company together beforehand.
Until then, and independently of it, you can upload files, whole folders, emails, photos and voice memos. Before we start, we go through real questions with you to see how the answers look.
Preliminary check
What we check in advance
The plan covers file storage and the mailbox. Beforehand, we look at which of your content exists as documents: posts in chats and channels, list entries, tasks, Planner and whiteboards are not documents in this sense. With the OneDrive of a deleted account, time is short — it is only kept for a limited period, and how long depends on your settings; anything still needed there should be captured first. Whether your organisation allows the access depends on your settings, on the licence and on whether an administrator has to consent. And if your SharePoint runs as a server on your own premises, the route is via file storage rather than access through your account. We clarify both before any effort is incurred.
FAQ
Frequently asked questions about this connection
Will the files from previous years come along, or only what is added from now on?
The plan is for the first pass to read what is in the shared libraries, folders and mailboxes — including archive folders from years ago that nobody looks at any more. After that, only new and changed items are meant to be added. Before that, we go through your files together once: a library in which templates and interim versions sit alongside the contract versions does not make the answers better. Anything that should stay out, you name in advance.
We have the same file three times — in Teams, in OneDrive and as an email attachment. What happens to it?
The plan is that all three go into the knowledge base and the source states where an answer comes from: library, channel, OneDrive or mailbox, each with a date. That way you can see for yourself which version is the more recent. Which version applies is for your company to decide — that is not a technical question, and we do not tidy anything up. Often, though, this very question is what prompts a clean-up of the files: where three versions sit side by side, the sources show it.
Microsoft keeps changing things in 365. Will we have to readjust?
The access relies on Microsoft's official route, not on a user interface; routine changes to 365 therefore usually do not affect it. It is different when Microsoft changes the consent rules themselves: for read access to files and mailboxes, Microsoft switched in 2025 to a Microsoft-managed default setting under which an administrator consents instead of the individual user. If such a change affects an existing access grant, nothing new comes in; the access is then renewed together with your administrator. Existing consents and your own consent rules usually remain unaffected.
Does the AI knowledge base take over our permissions from SharePoint?
This is deliberately handled differently. Nothing changes in SharePoint or in the mailbox; in the AI knowledge base, permissions are defined afresh and are tied to document types and roles, not to individual files. What you share is read; who gets to see it afterwards is up to you — management files and personnel records usually more restricted than the project libraries. For someone who has only recently joined, a cut-off date can be set. If a person lacks the permission, the system says so instead of answering from a document they are not allowed to see.
