Search Pipedrivenotes on your deals in your AI knowledge base.
The plan is that notes, linked emails, files and completed activities on people, organisations and deals come into the knowledge base — what was discussed around each job. Master data such as phone number or deal stage remain authoritative in Pipedrive; access is read-only.

“What wishes did Mr Wallner mention at the site visit for the roof renovation in Wels?”

How the connection is designed
The plan is to grant access through Pipedrive itself: you connect junova via your Pipedrive account and grant read permissions for the areas to be read — such as people, organisations, deals, notes and files. Access is read-only; nothing is created, moved or sent in Pipedrive. Whether your user account may set up such a connection or an administrator has to approve it, and what your Pipedrive plan offers for this, is something we check with you before we start.
Once set up, synchronisation runs automatically: new and changed documents from Pipedrive are added by themselves, without anyone having to upload anything.
Set-upThe connection is made with a click through your Pipedrive account and is included in the setup. We agree beforehand which areas are read — ideally together with the person who manages Pipedrive at your company. Multiple pipelines, leads and the linked mailboxes are included in that discussion.
Documents
Which documents may be stored in Pipedrive
- Notes after site visits and calls, directly on the deal or on the person
- Emails linked to a deal or a person via email sync
- Files on the deal: quotes, site measurements, photos from the site visit, sketches
- Completed activities with notes — call, on-site appointment, follow-up — that make up the history of a job
- Lost deals with their reason, which become relevant again when the same customer makes a new enquiry
- Leads, i.e. enquiries that have not yet become a deal

Start
Before a connection is set up
The connection is made in one click via the account and is included in the setup. Every source comes with its own logins, permissions and folder logic — we check the prerequisites at your company together beforehand.
Until then, and independently of it, you can upload files, whole folders, emails, photos and voice memos. Before we start, we go through real questions with you to see how the answers look.
Preliminary check
What we check in advance
Master data such as phone number, address, deal stage or value remain authoritative in Pipedrive; the plan is that the knowledge base names them as attributes but does not maintain them. Beforehand, we clarify which emails are actually in Pipedrive via email sync and which are only in the mailbox, and whether emails marked as private should be read; there are separate pages on Outlook and Gmail for the mailbox itself. Whether leads, projects or custom fields are needed and what your Pipedrive plan offers for this is something we discuss. Open tasks and calendar entries are not documents and are not included.
FAQ
Frequently asked questions about this connection
Our notes are short and often typed on a phone. Is that enough?
The plan is that even a short note comes into the knowledge base with person, deal and date — together with the email and the quote in the same history, it often says more than it does on its own. The answer names the note it is based on, so you can see when and for which job something was recorded. Before we start, we go through how this looks with your content on real questions.
Does the knowledge base change anything in our deals or the pipeline?
No. The plan is read-only access: no deals are moved, no activities created, no notes written and no emails sent. Pipedrive remains the system in which you manage your jobs. The knowledge base answers questions about what is there and names the source.
We have lost deals going back several years. Is it worth including them?
Often yes — especially when the same customer makes a new enquiry, the old deal shows what was offered at the time and why it fell through. Whether won, lost or only open deals are included is something we decide together. The date is attached to every note as an attribute, so the answer shows how old a piece of information is. We discuss the scope before we start.
Our fitters should see the notes on the job, but not the prices. Is that possible?
The plan is to do this via document types and roles: site visit notes, site measurements and photos for the fitters, quotes with prices and cost calculations only for the office and management. In the knowledge base, permissions depend on the document type, not on the visibility settings in Pipedrive; those remain untouched. Which document type a file is assigned to is confirmed by a person during the first run. We decide before we start which roles you need.
