Search Boxfolders and shared folders in your AI knowledge base.

The plan is that the Box folders you release — contracts, minutes, plans and scans — come into the knowledge base, including folders you have been invited to. The plan is read-only access; nothing in Box is changed.

Connection

How the connection is designed

The plan is to grant permission via Box itself: you sign in with your Box account and choose the folders to be read — your own folders as well as shared ones you have been invited to. Access is read-only and limited to your selection; nothing in Box is changed. Whether your plan and your Box administrator’s policies allow such a permission, we check with you in advance.

Once set up, synchronisation runs automatically: new and changed documents from Box are added by themselves, without anyone having to upload anything.

Set-upThe connection is made with a click via your Box account and is included in the setup. Which folders are read and whether shared folders from other accounts are included, we discuss in advance — ideally together with the person who manages Box in your company.

Documents

Which documents may be stored in Box

  • Folders per client, property or customer that have grown over the years — often with the same subfolder structure
  • Shared folders to which outside partners are invited: experts, tax advisers, insurers
  • Signed contracts, powers of attorney and official notices as scanned PDFs
  • Minutes of meetings and owners’ meetings, often as a Word file and alongside it as a signed scan
  • Box Notes with meeting notes and process descriptions that never existed as a separate file
  • Photos from inspections and of damage, uploaded from the phone to the property folder

Start

Before a connection is set up

The connection is made in one click via the account and is included in the setup. Every source comes with its own logins, permissions and folder logic — we check the prerequisites at your company together beforehand.

Until then, and independently of it, you can upload files, whole folders, emails, photos and voice memos. Before we start, we go through real questions with you to see how the answers look.

Preliminary check

What we check in advance

In advance, we clarify which Box plan is in use and whether your administrator has to approve third-party applications first. Shared folders belong to the account that created them: if the invitation is withdrawn, the folder drops out of the selection. The plan is primarily files; whether Box Notes are needed and in what form they can be read, we discuss. The plan is the current version of a file; whether older versions from the version history are needed, we clarify. We also check whether your files carry a classification or an access restriction.

FAQ

Frequently asked questions about this connection

We work with many folders to which external parties are invited. Do they come along?

That is the plan for the folders you select — including shared ones your account has been invited to. Note that whatever external parties put into a selected folder becomes part of the data set. Whether that is wanted, for example for folders where the opposing party or experts file documents, you decide when selecting. What makes sense for you, we discuss before we start.

Our folder structure has become muddled over the years. Do we have to tidy up first?

Tidying up is not a prerequisite. The plan is to search the content — the text of the contract, the scanned notice — not just the folder name. Where a folder name says something useful, such as a client name or a year, it is taken along as an attribute. Before we start, we go through real questions with you to see how the answers look with your documents.

We constantly move and rename folders in Box. Does that break the connection?

That depends on the kind of change. Moving and renaming within a selected folder should be picked up by the ongoing sync. A new top-level folder, or one removed from the permission, is not covered by the existing selection. Ideally tell us about such restructuring beforehand, and we will adjust the selection.

Not everyone on the team may see every fee note. How can that be handled?

The plan is to handle this via document types and roles in junova: fee notes, HR records or draft settlements can be reserved for a smaller group as a separate document type, regardless of which Box folder the file is in. The sharing settings in Box are not copied one to one and remain untouched. Which roles you need, we define together before we start.
