“How was the receipt for invoice 2025-0488 assigned and posted?”

How the connection is designed
The Schweighofer Manager software is a family of Austrian business programs — from _Win_1A-FIBU and _Win_1A-LOHN to UNTERNEHMER and HAUS-MANAGER — and each program keeps its data in its own store; receipts, reports and letters that have been output are often stored alongside as files on your server. The plan is either a scheduled export of documents and master data, or a sync that mirrors the output directory to your own instance in encrypted form — read-only and outbound only. If you use SCHWEIGHOFER CLOUD, we need to clarify whether and how the provider grants read access. We check with you before we start which route is feasible for you — depending on program, version, licence and the vendor’s approvals.
Once set up, synchronisation runs automatically: new and changed documents from Schweighofer Manager are added by themselves, without anyone having to upload anything.
Set-upEach program in the family has its own output route; the effort therefore depends on what you start with and whether files are available or an export is needed as well. We estimate it after the preliminary check and discuss it with you before anything is set up. It is charged by effort.
Documents
Which documents may be stored in Schweighofer Manager
- Reports from bookkeeping that are usually output: account balance lists, account statements, journals and the documents for the VAT return.
- Payroll documents: the monthly payslips, annual pay slips (Lohnzettel) and notifications to the ÖGK (Austrian Health Insurance Fund), plus statements of employment terms, collective agreement gradings, allowance and all-in agreements.
- From invoicing and inventory management: quotes, delivery notes, outgoing invoices and reminders — together with the item and price data that applied at the time.
- From property management: service charge demands, operating cost and owner statements, reserve fund statements, resolutions of owners’ meetings and correspondence on the property.
- Scanned receipts for the bookkeeping: incoming invoices, cash receipts and bank statements, usually in the output or receipt directory next to the reports.
- The packs that go out with the annual financial statements — to the client, to the bank or to the owners’ association.

Start
Before a connection is set up
A connection is set up for you, not activated in one click. Every source comes with its own logins, permissions and folder logic — whether and how it can be connected at your company, we check together beforehand. Set-up and maintenance are billed by effort; how much that is depends on the source and is discussed beforehand.
Until then, and independently of it, you can upload files, whole folders, emails, photos and voice memos. Before we start, we go through real questions with you to see how the answers look.
Preliminary check
What we check in advance
In advance, we look at which reports are created as files on your side — anything that is only viewed on screen and never output does not exist anywhere as a document. An account balance list that has been output reflects the state on the day it was output; if entries are rebooked afterwards, the file is out of date, which is why the answer is designed to state the output date as well. Bookkeeping, payroll, invoicing and property management each have their own output route, which we check and set up individually, even though they all come from the same vendor. You decide what to start with; they do not all have to be done at once.
FAQ
Frequently asked questions about this connection
Our reports from previous years exist only in the program. Will they be included too?
The plan is to include whatever is stored as a file in the output directory — including older years. For periods that were never output, a one-off output run would be needed; we decide together with you which reports that should cover. A report generated today carries today’s output date and shows the state the program holds for that period today — not necessarily the same as the printout from back then. After that, only what is newly output or stored is intended to be added.
All our output lands in the same directory and is named by receipt number. Is that enough?
As a rule, that is a usable basis. The file name and path are read along as structure, and the system also reads client, property, period and receipt number from the document — an operating cost statement names its property in the header, after all. The master data from the export is intended to assign where each item belongs; if there are two versions of the same statement, both are named with their dates. Someone at your company confirms the document type of a file on the first run. Before we start, we go through the answers with you on real questions, using your own file names.
Program updates sometimes change output templates and directories.
The connection does not change anything in the program itself. If an update moves the directory or file names, no new files are added until it has been updated; the existing content stays in place. Because several programs run side by side, an upgrade often affects only one of them — we first check the route that files come from every day. The update is coordinated and charged by effort; let us know before the version upgrade, and we will check the output route at the same time.
Our colleague in property management must not see any payroll documents.
That is what visibility by document type and role is designed for. Payroll documents can form a separate document type that is shared only with payroll; service charge demands and property statements can be open to the management team alongside, without anyone having to adjust file permissions. Permissions can be given a cut-off date, for example if someone has only been looking after a property since this year. If the permission is missing, the system says so instead of showing the content.
