“Which hours and materials were recorded on the time-and-materials report for job 2025-0412?”

How the connection is designed
With kwp-bnWin.net, experience shows that part of the content is not a file in a folder but sits in the program itself. The plan is therefore an agreed export recipe: a scheduled export of documents and master data, sent encrypted and over outbound connections only to your instance. How much is stored as files in the archive, what can be output from the program and whether an interface is an option, we check with you and your kwp support partner before we start — depending on version, modules and licence. Until then you upload documents: files, whole folders, emails, photos and voice memos.
Once set up, synchronisation runs automatically: new and changed documents from kwp-bnWin.net are added by themselves, without anyone having to upload anything.
Set-upHow much work the export recipe takes depends on version and modules. We estimate the effort after the preliminary check and discuss it with you and your kwp support partner before anything is set up. Billed by effort.
Documents
Which documents may be stored in kwp-bnWin.net
- Time-and-materials and service jobs from job processing — hours recorded, materials used and the customer’s signature on the report
- Maintenance files per installation: interval, inspection points, the items needed for the next visit and the reports of the last maintenance visits
- Quotes, order confirmations, interim and final invoices for the construction project, including the variations
- Property and installation data — make, year of manufacture, serial number, location and the measured values from the last heating service
- What comes back from the job when working on site with the Mobile Monteur app: report text, photos, materials used and the notes for the follow-up visit
- Handover reports and commissioning reports for the installation, plus the correspondence you need for a complaint within the warranty period

Before a connection is set up
A connection is set up for you, not activated in one click. Every source comes with its own logins, permissions and folder logic — whether and how it can be connected at your company, we check together beforehand. Set-up and maintenance are billed by effort; how much that is depends on the source and is discussed beforehand.
Until then, and independently of it, you can upload files, whole folders, emails, photos and voice memos. Before we start, we go through real questions with you to see how the answers look.
Preliminary check
What we check in advance
Beforehand we look at what exists only in the screen for you — the remark in the time-and-materials job, the note on the maintenance installation, the hint for the follow-up visit — and whether the export recipe can take it along. An export is a snapshot at the time of the run, not a live query: whatever happens in the program afterwards only comes across with the next run. Because kwp-bnWin.net is modular, we also check which modules you use; maintenance files, for example, require the maintenance module. If a run does not take place, this is meant to show up in the sync, so that an old state is not presented as current.
FAQ
Frequently asked questions about this connection
Before kwp-bnWin.net we had a different program. Do the old years come across too?
The plan is for the export to take what is in kwp-bnWin.net today. Documents from the time before usually sit as PDFs on a drive or as paper files on the shelf; they can come across via upload, including as a whole directory. This older collection does not have to be complete: in customer service, what counts most is what was last done on the installation and what was left open at the time. Older years can be added later without setting up the configuration again.
Some of our notes exist only in the program, not in a file. What happens to them?
That is exactly what the export recipe decides. Beforehand we look at which fields and lists can be output on a schedule — time-and-materials reports, maintenance files, installation data, report texts — and how they can be written out as files. What is not in the export cannot be answered either; the system then says that nothing is on file about it. In customer service, that is more useful than an answer nobody can back up afterwards.
What if a kwp update changes the filing or the lists?
Then the export recipe is adjusted; that is planned as ongoing support billed by effort and is not a special case. Nothing is changed in the program itself, the export only reads — but a version jump can shift fields or lists. So let us know briefly before a major update; we look at the first run afterwards together.
We run two sites as separate clients (Mandanten) in kwp. Will they get mixed up?
The plan is to run the export per client, and where a document comes from stays recorded on the document. In your instance, both collections then sit side by side — an instance belongs to the company, not to the individual site. Whoever is only meant to see their own site’s installations gets that via the roles. If you want to keep the collections strictly separate, say so before setup, because that depends on how the roles are divided and is not handled afterwards on individual files.
