The plan is that notes, attachments, linked emails and completed activities on contacts and deals come into the knowledge base — what was discussed, offered and agreed with a customer. Master data such as address or stage remain authoritative in Zoho CRM; access is read-only.

Connection

How the connection is designed

The plan is to grant access through Zoho itself: you connect junova via your Zoho account and grant read permissions for the areas to be read — such as contacts, deals, notes and attachments. Access is read-only; nothing is created, changed or sent in Zoho CRM. Only what the connected account itself is allowed to see can be read. Whether your Zoho CRM edition allows access via the API and whether an administrator has to approve it is something we check with you before we start.

Once set up, synchronisation runs automatically: new and changed documents from Zoho CRM are added by themselves, without anyone having to upload anything.

Set-upThe connection is made with a click through your Zoho account and is included in the setup. We agree beforehand which areas are read — ideally together with the person who manages Zoho CRM at your company. Custom modules, connected mailboxes and other Zoho applications are included in that discussion.

Documents

Which documents may be stored in Zoho CRM

  • Notes on calls and visits — on the contact, on the account or directly on the deal
  • Attachments on the record: quotes, maintenance logs, inspection reports, signed orders
  • Emails linked to a contact via the mailbox integration, including the replies
  • Completed tasks, meetings and calls with descriptions that make up a customer’s history
  • Custom modules created in-house — for example for installations, properties or maintenance contracts
  • Several contacts at one company whose notes only give the full picture together

Start

Before a connection is set up

The connection is made in one click via the account and is included in the setup. Every source comes with its own logins, permissions and folder logic — we check the prerequisites at your company together beforehand.

Until then, and independently of it, you can upload files, whole folders, emails, photos and voice memos. Before we start, we go through real questions with you to see how the answers look.

Preliminary check

What we check in advance

Master data such as address, stage, amount or responsibility remain authoritative in Zoho CRM; the plan is that the knowledge base names them as attributes but does not maintain them. Beforehand, we clarify which edition you use, in which data centre your Zoho account is hosted and which user the connection should run under — what this user is not allowed to see cannot be read either. We check which emails are actually linked in Zoho CRM and which are only in the mailbox. Whether custom modules or content from other Zoho applications such as Zoho Desk or Zoho WorkDrive are needed is something we discuss separately; open tasks and calendar entries are not documents and are not included.

FAQ

Frequently asked questions about this connection

We have created custom modules for our installations in Zoho. Will they come along?

The plan initially covers what is attached to contacts, accounts and deals: notes, attachments, linked emails. Whether custom modules are added depends on what they contain and whether the authorisation covers them — we check that beforehand. Especially for installations and maintenance contracts, that is often where the inspection reports sit that are otherwise hard to find. We decide the scope together before we start.

Does the knowledge base change anything in our data in Zoho CRM?

No. The plan is read-only access: no records are created, no fields changed, no tasks created and no emails sent. Zoho CRM remains the system in which you manage customers and deals. The knowledge base reads what is there and names the source with every answer.

What happens if we change edition or a user is deactivated?

Reading takes place via the authorisation of the connected account. If this user is deactivated, the authorisation is withdrawn or a change of edition alters what the API allows, the knowledge base stays as of the last sync, and the date on the source shows this. Ideally, tell us about such changes in advance; we will then check whether the connection needs to be authorised again.

Our technicians should see maintenance notes, but not the contract terms. Is that possible?

The plan is to do this via document types and roles: maintenance notes, inspection reports and installation data for the technicians, contracts with terms and quotes only for the roles that deal with them. In the knowledge base, permissions depend on the document type, not on profiles or roles in Zoho CRM; those remain untouched. Which document type an attachment is assigned to is confirmed by a person during the first run. We decide before we start which roles you need.
