Documents from QOMETask your project files questions, with the source.
The plan is that drawings, test certificates, correspondence and invoices from QOMET come into your knowledge base without you having to maintain anything twice. Nothing is changed in QOMET itself.
QOMET

“Which standard applies to the material in order 2024-118?”
1 Answer with sourceConnection
How the connection is designed
The plan is to mirror the document directory in which QOMET stores your documents, encrypted, into your own instance — read-only and over outgoing connections only. Whatever you delete in QOMET is meant to disappear there too. Customers, projects and the material master can be added via the export. Whether and how that works for you, we check with you before we start — depending on version, storage location and licence scope.
Once set up, synchronisation runs automatically: new and changed documents from QOMET are added by themselves, without anyone having to upload anything.
Set-upWe estimate the effort after the advance check and discuss it with you before anything is set up — together with your QOMET support partner, if you like. It is charged by effort.
Documents
Which documents may be stored in QOMET
- Quotes together with the costing behind them — line items, material share, labour minutes and the surcharges you calculated with
- Post-calculations: what the order cost in the end, compared with what was in the quote
- Workshop drawings and detail plans with revision status, plus the bill of materials for the assembly
- Acceptance documents for the component: inspection certificates 3.1 to EN 10204, welding procedure specifications and welder qualification certificates, declaration of performance to EN 1090-1
- Installation and time-and-materials reports from the site, often received as a photo or scan, together with the timesheets for them
- Manufacturer documents for drives, fittings and locks — the installation, adjustment and maintenance instructions people look for when something breaks down

Start
Before a connection is set up
A connection is set up for you, not activated in one click. Every source comes with its own logins, permissions and folder logic — whether and how it can be connected at your company, we check together beforehand. Set-up and maintenance are billed by effort; how much that is depends on the source and is discussed beforehand.
Until then, and independently of it, you can upload files, whole folders, emails, photos and voice memos. Before we start, we go through real questions with you to see how the answers look.
Preliminary check
What we check in advance
In advance, we look at what you hold in QOMET as a file and what only as a record — costing lines, booked hours, the material master. Records come via the export and, in the knowledge base, reflect the state of the last sync, not a live query: the hours booked to the order this morning remain in QOMET. For drawings, we check how much text they yield — title block, item numbers, dimensions, bill of materials; scanned old drawings go through text recognition (OCR). And we look together at whether the documents really are in the document directory or whether part of the site records lives elsewhere, for example on a colleague’s phone — for such material, upload is the intended route.
FAQ
Frequently asked questions about this connection
Do the orders from before QOMET come across too? We still keep them in the old folder.
That is the plan: the old folder can be set up in the same way as the QOMET directory, or you upload it — whole folder trees at once, too. When reading in, the system is designed to recognise customer, project and date by itself; the document type is confirmed by someone on your side during the first run, because it determines who will see the document later. The old costings are often the interesting part, for example when a customer wants the same railing again years later. You will see in a demo what the answers look like with your old documents.
Our folders are named by order number, not by customer. Will the system still find anything?
The search goes by content, not by file name. The order number is a good key here: through the customer and project export, the system is meant to know which numbers belong to which customer and which site. That way, a question about the customer is meant to reach their orders; the answer gives the source including the number, so you can check it. Renaming is not part of the plan — the structure stays the way it has grown.
Will every apprentice then see the costing?
You decide that. Permissions are tied to document types and roles, not to individual files: for example drawing, bill of materials and manufacturer documents for the workshop; costing, post-calculation and contribution margin for the master craftsman level. A cut-off date is also possible, for example so that the apprentice workshop only sees documents from the current year onwards. If permission is missing, the system says so instead of giving an answer in which the figure is simply left out.
Our drawings are PDFs from CAD. What can anyone actually read from them?
What is read is whatever is in them as text: the title block with order and drawing number, revision status, material, item numbers and the bill of materials in the corner. That way a drawing is meant to be findable by its content and not just by its file name; the answer gives file and sheet as the source. Scanned old drawings go through text recognition (OCR) when read in — how well that works with faded copies becomes clear with your actual documents. The geometry itself is not in the text: a dimension can be read where it is actually dimensioned.
