Documents from Kieselsteinproduction and projects, answers with the source.
Bills of materials, routings, project documents and correspondence from Kieselstein are meant to come into your knowledge base — read-only, nothing is changed in Kieselstein itself.

“Which bill of materials belongs to this assembly?”

How the connection is designed
The plan is to mirror the Kieselstein document directory, encrypted, into your own instance — read-only and over outgoing connections only. Item, project and customer master data can be added via the export. Whether and how that works for you, we check with you before we start — depending on version, document storage setup and hosting.
Once set up, synchronisation runs automatically: new and changed documents from Kieselstein are added by themselves, without anyone having to upload anything.
Set-upHow much setup is needed depends on how Kieselstein stores documents in your setup. We estimate the effort after the advance check and discuss it with you before anything is set up — together with your support partner, if you like. It is charged by effort.
Documents
Which documents may be stored in Kieselstein
- Bills of materials including revision levels — also the assemblies taken over from design engineering
- Routings with the operations per bill of materials, including set-up and unit times
- Production lot documents: what is filed with the lot, the material withdrawals and the papers for subcontracted work
- Drawings, data sheets and test certificates attached as documents to the item or the bill of materials
- Quotes, order confirmations and invoices that land in the document store when printed
- Purchase orders and supplier order confirmations from purchasing, including the goods receipt papers

Start
Before a connection is set up
A connection is set up for you, not activated in one click. Every source comes with its own logins, permissions and folder logic — whether and how it can be connected at your company, we check together beforehand. Set-up and maintenance are billed by effort; how much that is depends on the source and is discussed beforehand.
Until then, and independently of it, you can upload files, whole folders, emails, photos and voice memos. Before we start, we go through real questions with you to see how the answers look.
Preliminary check
What we check in advance
In advance, we look at whether there is a directory to mirror in your setup. Kieselstein can also keep documents in its own document database; a mirrored store cannot reach that directly. For this case, the intended options are the file-based variant of the document database and an additional document storage path in the file system; the export recipe remains as a further route. Which setting is active for you, we clarify before any effort is incurred. We also check which content exists as a document: an operation that only exists as a line in the routing comes across as soon as the routing is in the document store as a printout or export.
FAQ
Frequently asked questions about this connection
We have lots and bills of materials going back twenty years — will the old stock come across?
The plan is that the initial run takes the old stock to the extent you release; after that, only what is new or has changed is meant to be added. That matters especially for assemblies that have not been built for years: the drawing for the 2009 lot often only exists there, and when a customer wants a spare part for it, the information depends on exactly that document. The same applies when a complaint has to be traced back via serial or batch numbers. How far back the mirroring goes, you decide — year by year, too, if you want to start with the last few years and add more later.
Our filing is tied to item and lot, not to folders. Will that be reflected?
That is the idea: if a document is filed under an item or lot number, this assignment is meant to come along and later appear in the source. If the master data comes along via the export, you can also ask by description instead of by number — handy when nobody in the workshop knows the seven-digit item number by heart. If the same drawing is also in the design folder on the server, both sources can be connected; the answer then states which one it comes from. You will see in a demo what that looks like with your own documents.
We install a new version regularly. Do we have to fix anything afterwards?
As a rule, a version change affects the user interface, but what is mirrored is a directory. It gets tricky when a version jump moves the storage path or the documents move into the database: then nothing new arrives, and in the worst case the sync points to an empty directory. So let us know before a major jump. We will then pause the sync, look together afterwards at where the documents are, and set up the route again. The documents already in your instance remain searchable in the meantime.
Who may see what is in production — and who may not?
You decide that before the first run starts. Permissions are tied to document types and roles: routings and drawings, for example, for everyone in production, costing and contribution margins more narrowly. Customer drawings you received under confidentiality can be kept as a separate document type and shown only to those working on the order. For agency staff or a summer intern, a cut-off date can also be set. Nothing is changed in Kieselstein itself; the permissions there stay as you assigned them.
