Project files from untermStrichfees, project phases and correspondence, with the source.

Fee calculations, scopes of services and project phases, meeting minutes, drawing revisions and correspondence from untermStrich are meant to become searchable in the knowledge base, with answers naming the source. The plan is read-only access; nothing is changed in untermStrich.

Connection

How the connection is designed

The plan is to mirror the project filing in which your office keeps the documents for the untermStrich projects to your own instance, encrypted — read-only and over outbound connections only. Project, client and phase master data can come along via an export, so that answers are matched to the right project. Whether and how this works for you, we check with you before we start — depending on version, filing and licence scope. Until then you upload documents: files, whole folders, emails, photos and voice memos.

Once set up, synchronisation runs automatically: new and changed documents from untermStrich are added by themselves, without anyone having to upload anything.

Set-upWe estimate the effort after the preliminary check and discuss it with you before anything is set up — ideally together with your untermStrich support partner. Billed by effort.

Documents

Which documents may be stored in untermStrich

  • The project file per project number — quote, order confirmation and the related fee notes, including partial invoices by project phase and the payment status
  • Fee calculations with the stored scope of services and work packages, plus variations and additional services that were added during planning
  • Time records per person, project and work package, plus travel and incidental costs from site supervision
  • The office’s address records — client, specialist planners for structural engineering, building physics and building services, building authority and contractors, each with contact person and project reference
  • Drawing lists with revision index, issue date and approval note, plus meeting minutes with their open points and the site supervision reports
  • Project correspondence including emails — from the building permit hearing through the conditions in the building permit and defect notices to contractors, to handover and the occupancy permit

Start

Before a connection is set up

A connection is set up for you, not activated in one click. Every source comes with its own logins, permissions and folder logic — whether and how it can be connected at your company, we check together beforehand. Set-up and maintenance are billed by effort; how much that is depends on the source and is discussed beforehand.

Until then, and independently of it, you can upload files, whole folders, emails, photos and voice memos. Before we start, we go through real questions with you to see how the answers look.

Preliminary check

What we check in advance

Beforehand we look at which figures from untermStrich are to come along via the export — time bookings, fee rates, reports. They then reflect the state of the last sync, not that of the last booking; for the figure that applies today, project controlling in the program remains the place to go. Nothing is recalculated here: the answer shows what is on file. For drawings, we clarify what form they are in — title block, drawing list and PDF output are intended as text; for DWG or IFC files, we check what can be read from them. And we agree separately together who may see which project, instead of carrying over the project permissions from untermStrich.

FAQ

Frequently asked questions about this connection

We have project folders from many years of using untermStrich. Does the older collection come across?

That is the plan, and in planning offices the older collection is often the actual reason: people rarely ask about the current project, but about the one handed over years ago where a defect is now appearing. The sync does not distinguish between old and new; completed projects in the project filing are meant to come across too. It is common to start with the current projects, with older years following afterwards. Scanned as-built drawings and old minutes go through text recognition (OCR); how well that works with faint copies or handwritten notes shows in your collection.

We have five revisions of one drawing. Which one do we get to see?

The one the answer comes from — with revision index and issue date as they appear in the title block. No revision is overwritten or sorted out: the plan is read-only access, and your filing stays as it is. If you ask for the current revision, the answer is meant to name the latest index and the folder it is in. Whether that revision is also approved is still decided by the approval note, not by the system.

Our project folders are filed by project number and year. Does anything have to change?

Usually not; the structure even helps. The system is meant to derive from the project number and path which project a document belongs to, and the project master data from untermStrich can add the client and project name. This is particularly useful where the same plot has been given several numbers over the years — preliminary design, planning application, construction — or where you handle a project in a joint planning partnership. Documents without a project number can be found via their content, but the assignment to the project is then weaker; we look beforehand at how your filing behaves.

What happens when untermStrich changes version?

Nothing is changed in the program itself; the sync of the project filing relates to the directory, not to the program version. What it may affect is the master data export — for instance if fee or hours columns are structured differently or a new range of project numbers is added. So let us know about a planned change in advance, and we will look at the first sync afterwards together.

Will everyone in the office then see the fee notes and timesheets?

You decide that. Permissions depend on document type and role, not on individual files: fee notes, time reports and the office costing can be reserved for management, while the project team sees drawings, minutes and correspondence with the authorities. A cut-off date can also be set for a role — for instance for people who have only been working on a project since it was taken over. If your role lacks the permission, the system says so, instead of acting as if there were nothing on the question.
