Documents from the Werbas vehicle historyask questions right at the vehicle lift.

Connection

How the connection is designed

The plan is to mirror the Werbas document directory, encrypted, into your own instance — read-only and over outgoing connections only. Vehicle, customer and job master data can be added via the export, so that you can ask by number plate and VIN. Whether and how that works for you, we check with you before we start — depending on modules, setup and storage location.

Once set up, synchronisation runs automatically: new and changed documents from Werbas are added by themselves, without anyone having to upload anything.

Set-upWe estimate the effort as soon as it is clear how Werbas stores files in your setup, and discuss it with you before anything is set up — together with your support partner, if you like. It is charged by effort.

Documents

Which documents may be stored in Werbas

  • Workshop jobs with the labour time units, the parts fitted and the approval the customer gave on the phone
  • Cost estimates and damage assessments together with the correspondence with the insurer
  • § 57a reports (Austria’s periodic roadworthiness inspection, the “Pickerl”) and the defect lists from those inspections — including the defects already noted at last year’s inspection
  • Vehicle files with VIN, number plate, vehicle registration document (Typenschein) or data extract from the type-approval database
  • Warranty and goodwill claims to the importer, together with the photos of the damage
  • Delivery notes, invoices and credit notes from parts purchasing, assigned to the job

Start

Before a connection is set up

A connection is set up for you, not activated in one click. Every source comes with its own logins, permissions and folder logic — whether and how it can be connected at your company, we check together beforehand. Set-up and maintenance are billed by effort; how much that is depends on the source and is discussed beforehand.

Until then, and independently of it, you can upload files, whole folders, emails, photos and voice memos. Before we start, we go through real questions with you to see how the answers look.

Preliminary check

What we check in advance

In advance, we look at where Werbas stores the documents in your setup: as files or in the integrated archive. That depends on the modules and the setup — and also on whether you run Werbas on its own or the extended version with KSR. The route is decided on that basis, before any effort is incurred. Content that is displayed from third-party systems when called up — parts catalogue, manufacturer specifications, standard labour times — is not part of the plan: it does not belong to you and sits in the respective portal. The knowledge base is intended for your own records — the job from back then, not the manufacturer’s manual.

FAQ

Frequently asked questions about this connection

We have vehicle files going back fifteen years — will the old history come across?

That depends on whether the old documents exist as files; we look at that in advance. How far back the initial run goes, you specify; after that, only what is newly written is meant to be added. For vehicles you have been looking after for years, the information is often in the old job: which timing belt was fitted, when the brake fluid was last changed, what was already noted at the last inspection. That is exactly what the customer asks when they call and want to know whether that was not already an issue back then.

Everything here is tied to the number plate. What happens if the vehicle is sold on?

That is what the vehicle master data is for: the VIN stays even if the number plate changes, the car changes owner or was deregistered for a while. The plan is that you can ask by either; the answer names the job it comes from. Your sorting by number plate is read along, not rebuilt. The tricky case is an interchangeable number plate registered to two vehicles: without the VIN, a question can then hit the wrong history — here it is worth checking the source.

Werbas gets updates all the time. Will the integration break?

Nothing is installed in Werbas itself and nothing is changed; only the stored files are read, and a version change does not usually affect them. If an update moves the storage path, this shows when new jobs no longer arrive in the knowledge base. Then the path is set up again; the existing documents are kept. It is easier if we know about a major update before it is installed.

Can the apprentice see the repair history without seeing the purchase prices?

You decide that. Permissions are tied to document types and roles, not to individual files: jobs and inspection reports, for example, for everyone in the workshop; purchase prices, costing and correspondence with insurers and assessors more narrowly. For someone helping out in summer, a cut-off date can also be set. If someone lacks permission, the system says so instead of giving the answer anyway. Your user permissions in Werbas stay as they are.
