AI knowledge base for freight forwarding and logisticswhen someone at the loading bay asks for the proof of delivery.

Consignment notes, proofs of delivery, transport orders, vehicle files and dangerous goods documents in one place, every answer with its source. Dispatch asks at the screen, the driver on their phone as soon as they’ve stopped — whether that works with your documents, you check in a demo.

“Who took over the consignment on 14 March, and with what reservation?”

Day to day

Sound familiar?

  • Where’s the proof of delivery from the March run? Without it the customer won’t pay the invoice.

  • Which load securing the customer requires and where the access road is at that plant — Hansi knows. Nobody else does.

  • When does the articulated lorry’s inspection sticker run out, and when does the driver’s ADR certificate? That’s on three different lists.

Tuesday, half past seven in dispatch. A customer in Upper Austria reports that two pallets from Friday’s consignment arrived crushed. The driver is long gone again, heading for the Brenner, and says on the phone that he noted something on the consignment note when unloading — on which copy, he no longer remembers. The copy that came back is in the pile next to the printer, together with two weeks’ worth of documents. The dispatcher leafs through and finds a document from the same run, but for the other customer. On the second line a driver is waiting outside a factory gate: nothing gets loaded there until his ADR training certificate is at the loading point’s office in advance. And accounts would like the proof of preferential origin for an export from last year, because customs has asked the customer about it.

Getting started

Where you start

Start with the consignment notes — specifically the copies that came back with handwritten remarks. In a dispute, those are what people ask for, not the clean copy of the order. The scans and phone photos from the drivers’ folders go up folder by folder, including the crooked ones with biro on them; how well they’re read is the first thing to check in the demo. Second, the transport orders together with the rate agreements, and the customs and shipping documents; they’re already kept together per order anyway. Vehicle and driver files are the third step: § 57a KFG inspection reports, ADR training certificates, proof of code 95 on the driving licence. Whether your file server and Microsoft 365 can be connected, we check before we start; setting it up is charged according to effort.

FAQ

Frequently asked questions

The consignee only reports damage after a few days. Does the system help us work out whether the reservation was made in time?

You can ask for the documents that show it: the copy of the consignment note with the driver’s remark and the date of delivery, each with its source. The system doesn’t calculate anything. For context: under Article 30 CMR, a reservation about apparent damage must be made at the latest on delivery; for damage that is not apparent, within seven days of delivery and in writing, Sundays and public holidays excepted; for delay in delivery, it is twenty-one days from the time the goods were placed at the consignee’s disposal. What follows from that in a specific case is for you or your lawyer to judge.

Our proofs of delivery come in as phone photos from the drivers’ folder — crooked and written on in biro.

They can go into the knowledge base just like a clean PDF — individually, by folder or as an email attachment. The system suggests the consignment number, customer and date; someone on your side confirms the document type, because that determines who sees the document later. How well crooked, handwritten photos are read, you check in the demo with a stack from the drivers’ folder. If the system finds nothing for a question, it says so.

Does the system take over downloading the driver cards and the vehicle unit’s mass memory?

No. Downloading stays with you and your tachograph software. The maximum periods for this are set by Regulation (EU) No 581/2010: the driver card at least every 28 days, the vehicle unit’s mass memory at least every 90 days. What comes after that in analyses, certificates and correspondence can go into the knowledge base: a driver’s ADR training certificate, the § 57a KFG inspection report for a vehicle, the analysis for a particular month. You ask about it, and the answer names the source.

Can we use it to produce a damage claim to our carrier’s liability insurer?

A draft — as a Word file, PDF or email draft, with the documents the details come from: consignment note, transport order, photos of the cargo. Nothing is sent; the system doesn’t send anything on its own. You read through the draft, correct it and send it yourself. If the system can’t find a document, that goes into the draft as an open point — what that looks like, you see in the demo with a closed damage case.
