AI knowledge base for estate agents when someone asks about the energy performance certificate, zoning or agency agreement for a property.

Property files, energy performance certificates, agency agreements, particulars, condominium and tenancy documents and correspondence with prospective buyers and tenants in one place, every piece of information with its source. Before we start, we check whether your file storage, mailbox or estate agency software can be connected; until then you upload files yourself. The demo uses sample documents; in the first weeks after go-live you test the answers on properties you currently have on the market.

Day to day

Sound familiar?

  • The buyer on the phone wants the HWB (heating demand) figure for the flat on Kirchgasse. The energy performance certificate’s attached to an email from the owner, somewhere in the mailbox.

  • Two colleagues are arguing about who introduced the buyer for Bahnhofstraße first. The enquiries from back then are spread over three mailboxes.

  • A colleague asked the council in 2022 how the plot in Nenzing is zoned. The answer’s in her mailbox, and she left a year ago.

Saturday at ten, a viewing on Mühlgasse. Already on the stairs, the prospective buyer asks whether the façade renovation has been approved and how much is in the reserve fund. The seller sent the documents in the spring: the property management company’s statement, the forecast and the minutes of the owners’ meeting with the resolution. The attachments are in two emails sitting in the shared mailbox among the portal enquiries. You promise to get back to them on Monday and jot it down on a scrap of paper. By Monday the buyer has gone to a competitor who answered on the spot – and nobody in the office even knew those documents existed.

Getting started

Where to start

Start with the properties currently on the market: property file, energy performance certificate, agency agreement and everything the owner has sent – uploaded as a whole folder, with no connection needed. In the first weeks after go-live, ask what prospective buyers most recently wanted to know, and check the sources. Your mailbox comes in the second step, because that’s where the first enquiries and the commitments are that people ask about later; before we start, we check whether it can be connected, and the connection is set up and charged on a time-and-materials basis, agreed in advance. Older properties follow once you see what people actually search for day to day.

FAQ

Frequently asked questions

In an inspection we are asked for our identity verification records. Can we find them?

If they are filed, you can ask for them – the answer gives the transaction, the date of verification and the document it comes from, for example the copy of the ID or the extract from the Register of Beneficial Owners. If the system finds no record for a transaction, it tells you so. Whether this meets your due diligence obligations is not something it assesses; it shows what is there and what is not. You will usually make this document type available to the office only.

How do I know whether the energy performance certificate for the property can still be used?

The answer gives the value you need, together with the date of issue and the issuer from the certificate itself – so you can see which year it dates from and work it out from there. Nothing is calculated or estimated; if the system finds no certificate for the property, it tells you so. For the listing it can produce a draft in which every statement has its source – none of it is sent or posted automatically. In the first weeks after go-live, try two or three properties to see whether HWB and fGEE are picked up correctly from your certificates.

Can the system look things up in the land register or the company register for me?

No. Answers come from your records – that is, from the extract you have filed for the property, along with the date it was obtained. You still run the search itself through your clearing agency; you file the result, and from then on anyone in the office can ask about it, instead of the same property being looked up three times. You decide whether web searches are allowed at all, at three levels: not allowed, only after approval in the chat, or always allowed. Your property documents stay in your own instance and are not used to train language models.

We work with freelancers. Can they see everything?

Only what their role allows. Property files, particulars and floor plans can be opened up to them, while commission agreements, sole agency agreements and identity verification records stay with the office. Access depends on the document type, not on the individual file – otherwise someone would have to update it property by property. During onboarding you can use a restricted role to see what comes back.

The owner keeps sending more – a new statement, a new resolution. How does the property file stay up to date?

You upload the new documents; the system suggests which property they belong to. Older statements stay in your records, because in the autumn people regularly ask about the previous year’s figures. A person confirms which document type each one is – statement, minutes, resolution – because it determines who can see it. In the first weeks after go-live, check whether it’s clear which of several years is the most recent. And when your documents don’t contain the answer – how the renovation costs are split, for example – it tells you so.
